Position Overview
Corpay is seeking a seasoned Office Coordinator to enhance operational effectiveness within our International Vehicle Payments (IVP) division, a distinguished global leader in cross-border fleet logistics and expense management. This full-time position is based at our New Zealand Head Office in Ellerslie, Auckland, supporting approximately 100 staff, with plans to move to a modern location within Auckland in the next 12 to 18 months. The role reports directly to the Executive Assistant to the Managing Director located in Melbourne.
Key Responsibilities
- Manage daily office operations including meeting rooms, workspace arrangements, seating plans, and visitor facilitation.
- Coordinate catering services for office events, staff engagement initiatives, and executive meetings.
- Oversee procurement of office supplies, stationery, budgeting, spending, and vendor relationships.
- Handle facilities requests, building maintenance, workplace services, and initiatives promoting sustainability.
- Collaborate with IT to support office technology and equipment.
- Manage parking allocation, desk booking systems, and other office administrative tools.
- Assist in employee onboarding, internal communications, and various general administrative duties.
- Perform Health & Safety related administration, including walkthroughs, first aid supply management, and meeting minute preparation for the Health & Safety Committee.
- Provide office communications and updates to employees.
- Support operational projects, workplace improvements, and broader administrative tasks.
- Act as a dependable liaison for employees, suppliers, visitors, and company leadership.
Required Skills and Qualifications
- Proven experience in office coordination, workplace management, or facilities coordination within a corporate environment.
- Ability to juggle multiple tasks simultaneously with strong organisational skills and meticulous attention to detail.
- Confident in managing facilities service requests, maintenance scheduling, and practical office demands.
- Experience handling Health & Safety administrative responsibilities, workplace inspections, and related compliance requirements.
- Skilled in procurement and management of office supplies, vendors, and service providers.
- Excellent stakeholder management capabilities, adept at professional interactions with employees, suppliers, visitors, and senior management.
- Clear and respectful communication skills, capable of maintaining composure amid shifting priorities.
- Demonstrates sound judgement, professionalism, maturity, and a solutions-oriented approach under pressure.
- Proficient with Microsoft Office Suite (Outlook, Teams, Word, Excel) and familiar with desk booking or workplace management systems favored.
