Position Overview
The Inventory Support Specialist role involves delivering administrative inventory oversight remotely within assigned clinic territories. This part-time position requires availability during weekends and focuses on maintaining adherence to inventory best practices and standard operating procedures (SOPs). Acting as the main point of contact between the Headquarters Inventory team and local clinics, the specialist facilitates communication, enforces compliance, and supports inventory-related system updates and audits to ensure operational efficiency.
Key Responsibilities
- Ensure clinics follow established inventory handling, storage practices, and efficiently manage discrepancy tickets according to SOPs.
- Investigate inventory inconsistencies by collaborating with clinic personnel, warehouse staff, and inventory teams.
- Monitor vendor invoice correspondence through department inbox during shipment processes.
- Accurately enter data into inventory management systems or ERP platforms.
- Verify tracking information to confirm delivery and proper check-in of purchased products at clinics.
- Conduct weekly follow-ups with stores to confirm closure of outstanding dashboard items.
- Oversee communications regarding inventory transfers between clinics.
- Support month-end inventory reconciliations and follow up on cycle count audits.
- Provide additional departmental assistance as necessary.
Required Qualifications and Skills
- High school diploma or GED mandatory; associate degree in supply chain, business, or related fields is advantageous.
- Between 1 to 2 years experience in inventory management, supply chain operations, retail, or healthcare/medical office environments.
- Experience handling multiple locations, such as medical clinics, considered a plus.
- Familiarity with inventory management software and ERP systems is essential.
- Proficiency in Microsoft Office Suite with an emphasis on Excel for inventory tracking.
- Competence in Google Workspace (including Sheets, Docs, Forms, Drive) for reporting and collaboration purposes.
- Strong understanding of inventory control fundamentals.
- Excellent attention to detail, ensuring precise data entry and recordkeeping.
- Good organizational and time management abilities.
- Effective communication skills for coordination with clinic and retail staff.
- Capacity to work both independently and collaboratively within cross-functional teams.
- Analytical problem-solving skills to identify and resolve inventory discrepancies.
Work Environment & Physical Requirements
- Primarily remote work with periodic onsite visits to clinics for audits and training sessions.
- Access to a quiet, dedicated workspace equipped with reliable high-speed internet.
- Availability during regular business hours and capacity to address urgent inventory matters promptly.
- Utilization of cloud-based inventory platforms, Google Workspace, and communication tools such as Slack and Zoom to engage with clinic and operational teams.
- Ability to conduct inventory administration tasks independently while maintaining accuracy and accountability.
