Job Overview
This position involves coordinating and supporting various human resources activities centered around personnel management and organizational operations within the Human Resources Office.
Primary Responsibilities
- Provide assistance with daily HR functions, including managing the main HR phone line and handling incoming mail and HR documents promptly.
- Respond to employment verification requests, Public Service Loan Forgiveness certifications, and legal inquiries such as FOIA requests and subpoenas, ensuring timely compliance.
- Act as the main contact for copier support and troubleshooting within HR.
- Maintain and safeguard employee personnel files, ensuring accuracy, confidentiality, and adherence to relevant policies and recordkeeping standards.
- Support the organization, archiving, retention, and disposal of HR records following prescribed records management guidelines and timelines.
- Retrieve and file personnel documents as necessary to facilitate audits and information requests.
- Coordinate and conduct onboarding sessions for new hires to promote smooth integration into the organization.
- Prepare and deliver orientation materials covering organizational policies, procedures, benefits, and workplace expectations, ensuring all mandatory employment paperwork is completed.
- Serve as a resource for newly hired employees by addressing inquiries and directing them to appropriate departments.
- Assist with HR data entry and personnel updates, including timely processing of salary actions using the SCEIS System.
- Review and enter Employee Performance Management System documents to confirm compliance with policies and deadlines.
- Provide administrative and program support to various HR functions to maintain effective operations.
Qualifications
A bachelor's degree coupled with relevant experience in human resources is required.
Preferred Skills and Knowledge: Familiarity with personnel administration principles, a strong eye for detail, excellent organizational capabilities, proficient computer skills, and effective communication abilities.
