Role Overview
This position focuses on delivering thorough executive assistance to an ultra-high-net-worth individual (UHNWI), managing both business-related and personal tasks effectively within a dynamic and fast-paced environment in Dubai. It involves meticulous scheduling, travel arrangements, correspondence management, and administrative support to facilitate smooth daily operations.
Key Responsibilities
- Coordinate and manage complex calendars, appointments, and meetings for the principal.
- Arrange detailed travel itineraries including all logistical components.
- Handle all forms of correspondence across multiple communication channels in a professional manner.
- Prepare, monitor, and reconcile expense reports, maintaining accurate financial records.
- Organize and maintain confidential documents, presentations, and records with discretion.
- Act as liaison between internal stakeholders and external parties to ensure seamless communication flow.
- Anticipate executive needs, proactively address issues, and contribute to efficient operational management.
Candidate Profile and Requirements
- Demonstrated expertise in executive administration, including proficient calendar and travel management and confidential document handling.
- Strong skills in executive support functions such as stakeholder engagement, preparation of meetings, and managing high-level communications.
- Experience with expense report management, financial tracking, and basic budgeting practices.
- Excellent communication skills including articulate writing, professional email etiquette, and confident interpersonal interaction.
- Reliable administrative capabilities encompassing filing, data entry, record maintenance, and office organization.
- A bachelor’s degree or diploma in business administration or a related discipline is advantageous.
- Prior background supporting senior executives or UHNWI with a high degree of discretion and ability to perform in pressured situations with attention to detail.
- Proficiency in Microsoft Office suite and digital productivity applications; fluency in English is essential, with knowledge of additional languages considered beneficial.
