This full-time Executive Assistant position supports the Executive in Ride Development Engineering, contributing to the smooth operation of high-profile projects within the Disney theme parks and cruise ships division.
Responsibilities
- Provide highly professional, proactive administrative support with strong initiative, problem-solving, prioritization, and communication skills across all organizational levels.
- Manage confidential information with discretion and offer creative improvements to maximize productivity and work products.
- Handle complex calendar management, coordinate both internal and external meetings, and arrange travel logistics efficiently.
- Prepare and organize necessary documents, presentations, and materials ahead of meetings and events.
- Serve as the main point of contact for incoming communications, ensuring professionalism in all interactions.
- Assist with office administration duties including phone screening, filing, expense report preparation, and processing workflows through SAP.
- Adopt a flexible work schedule to address urgent demands and function as an active team member contributing to continuous departmental improvement.
Requirements
- Minimum of three years of administrative experience supporting senior executives in a fast-paced corporate environment with regular interactions with high-level leaders.
- Strong interpersonal and networking skills enabling effective collaboration with all management levels.
- Excellent written and verbal communication abilities to interact professionally with executives, colleagues, and external partners.
- Capability to multitask various assignments including written correspondence, expense reports, spreadsheets, presentations, and general office support.
- Advanced English grammar skills to accurately prepare documents from various inputs such as notes and meetings.
- Problem-solving aptitude with sound judgment and the ability to manage confidential or sensitive information securely.
- Effective team player with an enthusiastic attitude and solid work ethics.
- Proficiency with technology, especially Microsoft Office suite (Word, Excel, Outlook, PowerPoint, Visio), SAP systems (Concur, Field Representative, Employee ESS, Casual Buyer), and software like Keynote.
- Excellent organizational skills with attention to detail and ability to prioritize multiple tasks concurrently.
- Familiarity with The Walt Disney Company culture, organizational structure, and operational procedures.
Preferred Qualifications
- At least two years of experience supporting senior executives specifically within The Walt Disney Company.
- Bachelor’s degree or equivalent is preferred though a high school diploma or equivalent is the minimum education requirement.
