Position Overview
Sun IP is undergoing significant growth by broadening its service offerings, launching innovative platforms, and scaling its market outreach teams. The events channel is fundamental to this expansion, and the Event Marketing Specialist role is responsible for ensuring seamless delivery of all event-related operations.
Key Responsibilities
- Manage comprehensive event logistics for Sun IP’s participation at key industry events such as INTA, AIPLA, IPO, and LES including conferences, trade shows, sponsorships, and client gatherings.
- Organize all travel arrangements, including bookings, itineraries, accommodations, and on-site plans for sales and marketing attendees.
- Create and maintain detailed schedules and timelines from booth reservations through shipping deadlines and setup plans.
- Coordinate with vendors and venues regarding shipments, materials, and execution on event days.
- Oversee event budgets, monitor expenses, and handle vendor contracts and invoices.
- Anticipate and resolve potential logistical issues proactively to avoid disruptions.
- Analyze and enhance the company’s strategy for conferences, sponsorships, webinars, and client roundtables to prioritize and optimize event participation.
- Support marketing campaigns tied to events to boost engagement, booth visits, meetings, and follow-up quality.
- Collaborate with product marketers to monitor event outcomes and pipeline impact.
- Maintain inventory of event collateral and coordinate replenishment of marketing assets.
- Work closely with cross-functional teams including marketing and sales to align event logistics with broader campaigns and sales objectives, maintaining clear communication and calendar updates.
Candidate Profile
- Up to 2 years of professional experience, with internships or coursework in marketing, communications, event planning, or related areas highly regarded.
- Previous exposure to event logistics, hospitality, vendor coordination, or project management is advantageous.
- Skilled in managing travel logistics and working directly with vendors, venues, and freight services.
- Proficient with productivity tools such as spreadsheets, calendaring software, and project management trackers, and quick to learn new applications.
- Exceptional attention to detail with a strong commitment to accuracy and thorough task execution.
- Quick to master new processes and able to assimilate industry specifics independently.
- Excellent organizational skills and ability to handle multiple deadlines and activities simultaneously.
- Proactive problem solver who addresses challenges ahead of time.
