Job description
Role Overview
Aureos is looking for a Document Controller to join their team at the Manchester office near Manchester airport. The individual will manage and oversee all project documentation ensuring compliance with company procedures and client expectations, guaranteeing accuracy and accessibility throughout the project's duration.
Key Responsibilities
- Manage all incoming and outgoing project documents with precise control.
- Ensure consistent naming, formatting, and filing per company standards.
- Assist project teams with preparing and submitting technical documents.
- Oversee document workflows and approval cycles using dedicated document control systems.
- Provide training and guidance to project staff on document control procedures and system use to meet required documentation standards.
- Identify and address contractual document control requirements.
- Distribute documents internally and externally as needed.
- Assign document numbers appropriately according to project criteria.
- Perform quality checks on received documents, such as designer submissions, following document control protocols.
- Ensure that documentation includes necessary metadata for traceability, retrieval, and audits.
- Continuously work to enhance and improve document control procedures and systems.
- Contribute to the creation, updating, and maintenance of the Information Management Plan to comply with standards like ISO 9001.
- Provide feedback to Design Managers regarding documentation challenges.
- Manage storage systems including SharePoint, Autodesk BIM 360 Field, and BIM 360 Docs for efficient, accessible document storage.
- Collect and catalog technical documents such as drawings and blueprints.
- Review and revise documents to support maintenance and quality control.
- Keep staff informed about document updates and access methods.
- Support controlled issuance and maintenance of project information.
- Facilitate review and approval processes, including comment collation and distribution.
- Assist in implementation of related procedures such as TQ/RFI Database management.
Qualifications & Experience
- Previous experience as a Document Controller, preferably in a related industry.
- Familiarity with Document Control software systems.
- Excellent organisational capabilities.
- Self-reliant with the ability to multitask effectively.
- A proactive and systematic work approach.
