Role Overview
The Dispensary Associate is a key member of our team responsible for maintaining organized and compliant dispensary operations. This position requires a detail-oriented and proactive individual who excels both independently and as part of a team. You will be skilled in following strict protocols to ensure compliance and accurate patient service. Strong communication abilities are essential as you will often be the first company representative patients encounter.
Responsibilities
- Welcome patients warmly and provide personalized product guidance and solutions to meet their needs.
- Address patient concerns professionally and aim for retention, escalating issues appropriately when necessary.
- Maintain inventory accuracy and loss prevention by adhering to all state and company inventory controls and vendor receipt procedures.
- Operate point of sale (POS) systems for patient profile setup, transaction processing, and delivering excellent service at every interaction.
- Establish and sustain outstanding customer relationships to exemplify the company's high service standards.
- Collect and convey patient feedback and relay concerns to relevant departments.
- Educate prospective patients on the Compassionate Use Program and procedures to become affiliated with Texas Original.
- Strictly comply with all dispensary policies including state/local regulations, security, access protocols, inventory tracking, dress codes, scheduling, and human resources policies.
- Contribute constructively to the team environment aligned with company goals.
- Handle customer communications via phone, email, and in-person for inquiries, order assistance, issue resolution, and account management.
- Fulfill online orders accurately and timely, assist with phone orders by providing product details, pricing, and availability.
- Perform daily order fulfillment while ensuring regulatory compliance.
- Keep detailed and accurate inventory records linked with fulfillment operations.
- Verify prescriptions, pick and package products ensuring compliance and accuracy.
Key Qualifications
- Thorough knowledge of HIPAA and local/state cannabis regulations to ensure all fulfillment activities comply.
- Excellent attention to detail for order accuracy, compliance documentation, and inventory audits.
- Highly organized with the ability to manage inventory, monitor orders, and maintain precise fulfillment processes.
- Experience using point of sale systems and digital inventory management platforms.
- Capability to optimize workflows for enhanced accuracy, efficiency, and timeliness in delivery.
- Demonstrated leadership skills including leading, training, and motivating team members.
- Competent in scheduling, delegation, and overseeing team performance.
- Effective problem solving for supply chain or inventory challenges.
- Ability to stay composed and manage high-pressure scenarios such as regulatory inspections or shipment delays.
- Physical ability to lift up to 40 pounds and perform movements like reaching, bending, stooping, squatting, crawling, climbing, and fine motor tasks as needed.
