Role Overview
We are seeking a Business Operations Manager who will act as a vital connector across multiple facets of our company. This role is proactive and hands-on: you will drive accountability, remove obstacles between teams, and develop operational systems enabling GigSafe to grow efficiently in a dynamic startup environment. The position works closely with leadership, reporting to the VP of Operations and Strategy, and spans involvement across GTM, customer success, compliance, product, engineering, and finance teams.
Key Responsibilities
- Lead cross-functional coordination by tracking tasks, monitoring dependencies, and ensuring nothing slips through departmental gaps involving GTM, customer success, compliance, product, engineering, financial operations, and support.
- Design and maintain practical processes; identify workflow inefficiencies and create clear, accessible Standard Operating Procedures (SOPs) that facilitate repeatability and organizational knowledge retention.
- Support compliance-related documentation by formalizing decisions and building a scalable repository of operational knowledge to align with the company’s growth.
- Manage the operational knowledge base, organizing SOPs, cross-functional process documents, and compliance committee outputs effectively.
- Oversee internal tools including Asana, Notion, Slack, and Attio, actively seeking and implementing automation opportunities to streamline operations.
- Assist leadership in delivering enablement resources related to product, customer management, and compliance to empower teams to operate autonomously without bottlenecks.
- Prepare materials and reports for internal meetings and business reviews; take concise notes, document decisions, and ensure follow-up actions are completed promptly.
- Confidently manage upward by diplomatically holding senior stakeholders accountable when deadlines slip or deliverables stall, fostering a culture of ownership and collaboration.
Qualifications
- 1-3 years of experience in business operations, project coordination, program management, or related cross-functional roles.
- Exceptional organizational skills with reliable systems to track multiple tasks without lapses.
- Ability to assertively engage senior leadership for follow-through while maintaining trust and positive relationships.
- Proficiency and enthusiasm for using AI tools and automation to enhance productivity and simplify recurring tasks.
- Self-driven learner who leverages online research, AI assistance, and critical thinking to solve problems independently.
- Excellent communication skills, both written and verbal, adaptable to various functions and seniority levels.
- Experience with collaboration and project management tools such as Asana, Notion, Slack, and CRM platforms; familiarity with Attio is advantageous.
- Strong attention to detail and dedication to completing tasks thoroughly without prompting.
Preferred Experience
- Background in startup or high-growth company environments, especially in early-stage phases.
- Experience in consulting, banking, or other disciplined analytical projects.
- Exposure to compliance, logistics, or workforce management sectors.
- Technical project management skills or knowledge of engineering workflow tools like Jira or Linear.
