Role Overview
The Business Operations Coordinator plays a pivotal role in overseeing and managing business operations to align with customer expectations and company objectives. This fully remote position involves cross-functional coordination to ensure project success and efficient operational performance.
Key Responsibilities
- Promote and insist on adherence to safety protocols as the top priority for all employees.
- Support Service Managers with daily management and coordination of business operations tasks.
- Supervise and govern operational activities to fulfill client requirements and company targets.
- Serve as the communication link between clients and management for seamless operation delivery.
- Organize and oversee project tasks guaranteeing completion within budget and schedule.
- Ensure compliance with company policies and standards.
- Develop and maintain strong relationships with customers through regular communications.
- Lead internal project meetings involving multiple stakeholders and record meeting minutes.
- Schedule and attend external project meetings, preparing documentation as necessary.
- Drive resolution of multiple high-priority project issues to timely conclusion.
- Analyze operational performance and propose strategic improvements.
- Guide internal teams towards meeting performance objectives.
- Identify and promptly address operational process challenges.
- Adhere to and follow established standard operating procedures to maintain effective business operations.
- Maintain clear documentation and operating procedures for operational reference.
- Handle essential administrative duties including establishing and managing project filing systems.
- Code and verify vendor invoices accurately.
- Prepare and document extra work orders as required.
- Communicate change orders to subcontractors and track follow-ups.
- Draft subcontracts and purchase orders to support project activities.
- Assist Service Managers during monthly profitability reviews and collaborate with teams to achieve financial goals.
- Track and review CMMS work orders for accuracy and invoicing decisions.
- Generate invoices for project manager review before submission to clients.
- Evaluate processes for enhancements, advocate for new technologies, and coordinate implementations with management.
- Promote diversity and inclusion as fundamental aspects of the organizational culture.
Performance Metrics
- Compliance with company policies and procedures manual.
- Maintenance of standardized and current job-site files.
- Timely and accurate processing of extra work orders, subcontracts, purchase orders, and status updates.

Candidate Requirements
- At least two years of experience with contract management and handling change orders.
- Possess a High School Diploma or GED.
- Basic understanding of ERP systems.
- Ability to exercise independent judgment and be self-motivated.
- Encourage collaboration and teamwork across departments.
- Experience in diverse, multi-disciplinary, employee-owned organizations is preferred.
- Strong communication skills to translate vision into actionable plans.
- Must have legal authorization to work in the United States without company sponsorship now or in the future.

Compensation and Benefits
The salary range offered is between $60,632 and $75,732.80 annually. Employees and their families have access to medical, dental, vision, life, and disability insurance. Additional benefits include participation in the company 401(k) plan, and paid vacation, sick leave, and holidays.
