Overview

This role manages the Vital Statistics Office functions connected with collecting, recording, documenting, and submitting birth-related vital statistics for all deliveries at Lawrence + Memorial Hospital (LMH). The position helps ensure full adherence to CT State Department of Health Services rules, as well as the requirements of town and city vital records departments. It also supports compliance with local, state, and federal regulations, plus LMH internal information needs.

The role also plays a key part in service excellence by creating a strong first impression and delivering outstanding customer service to patients, families and friends, physicians, staff, and support departments.

Responsibilities

  • Oversee the gathering, recording, and reporting of data needed to prepare official birth certificates through local vital statistics offices and to submit birth information to the CT State Department of Health Services.
  • Maintain a dedicated area for completed birth certificates and, each day, collect signed birth certificate forms along with the delivery log from the Labor and Delivery Unit.
  • Support the process of obtaining Social Security numbers for newborns by coordinating the required documentation with the Social Security Department.
  • Help patients complete the information needed for neonatal Social Security number requests.
  • Manage the collection, documentation, and reporting required to comply with immunization rules and legitimacy guidelines from the Department of Health Services and Office of Legitimations.
  • Coordinate documentation and reporting related to requirements from the State Department of Children and Family Services, State Department of Income Maintenance, State Department of Social Services, Catholic Family Services, and adoption agencies.
  • Organize and help distribute immunization information materials to patients, and send completed patient documents to the CT State Department of Health Services, Immunization Section.
  • Handle information collection and reporting needed to satisfy internal LMH department requirements.
  • Prepare and share delivered-patient data with LMH Medical Records, PFAS, Vital Records, and Obs-Gyn-Pediatric Nursing departments.

Qualifications

Education required: high school diploma. An associate degree is preferred.

Preferred credentials include Notary Public qualifications, which should be maintained if held, and bilingual Spanish ability.

Experience: 2 to 3 years working as a statistics registrar in a hospital environment. Prior experience coordinating or supervising vital statistics office staff is preferred.

No licensure is required.

Special skills include the ability to coordinate staff in collecting, analyzing, and reporting statistical data; strong communication skills; familiarity with federal, state, and local reporting regulations; and proficiency with computer tools such as word processing, Excel, databases, and State Department of Health Services software.
