About the Role
Join Macy's as a Marketing Administrative Assistant in New York, NY, where you'll support day-to-day marketing operations with exceptional administrative and clerical assistance. You'll play a key role in managing schedules, organizing meetings, preparing reports and presentations, and handling special projects to ensure smooth function of the marketing team.
Key Duties and Responsibilities
- Provide thorough administrative support for daily meetings, special projects, and various additional tasks by carefully managing each detail and offering effective solutions.
- Create ad hoc reports and presentations and oversee special assignments as needed.
- Organize internal and external meetings, promptly managing invitations, distributing materials, coordinating technology setups including video conferencing, and arranging catering services.
- Maintain confidentiality and exercise sound judgment in decision-making concerning sensitive information; manage invoice processing and ensure precise expense allocations, liaising with Central Finance when necessary.
- Coordinate with departments such as Facilities, Technology, and HR to maintain efficient office operations.
- Manage all incoming and outgoing communications including emails, memos, letters, reports, newsletters, and telephone calls.
- Maintain leaders' calendars using Outlook to ensure effective scheduling and coordination.
- Arrange travel plans, office events, meetings, and catering as required.
- Develop and sustain an organized filing system for quick and easy access to documents.
- Reconcile travel and monthly expenses, preparing and submitting detailed expense reports accurately.
- Create an inclusive and respectful workplace atmosphere that fosters positive relationships with colleagues, customers, and community members.
- Perform other duties as assigned to meet business needs.
Required Skills and Qualifications
- Proficiency in Microsoft Word, Excel, and PowerPoint to produce professional presentations, reports, and spreadsheets.
- Familiarity with modern computer and electronic devices.
- Excellent organizational and time management skills with the ability to prioritize efficiently in a fast-paced environment.
- Strong written and verbal communication skills suitable for engaging with diverse teams, vendors, and senior stakeholders.
- Ability to build and maintain collaborative relationships across various departments.
- Resourcefulness and adaptability to changing priorities with proactive problem-solving skills.
- Experience using expense management systems for budget coordination and financial accuracy.
- Capability to work independently on projects and within team settings.
- Project management skills ensuring successful completion of special initiatives.

Additional Requirements
- Bachelor’s degree or equivalent experience in a related field is preferred.
- Prior experience as an administrative assistant or similar support role is advantageous.

- Must be capable of heavy lifting, moving frequently, remaining stationary for extended periods, and reaching as necessary, including some physical activity like stooping, kneeling, crouching, climbing ladders, and lifting 30 lbs.
- Visual requirements include close vision, color vision, depth perception, and focus adjustment.
- Must be available for in-office presence 3-5 days per week with flexibility in scheduling and dependable attendance.
