Job description
Overview
We are looking for an experienced General Administrator to join our productions and filming company based in Guadalajara, Mexico. This role involves full responsibility for managing administration and financial processes, ensuring smooth project execution, and maintaining compliance with legal and fiscal requirements.
Compensation and Work Schedule
- Monthly gross salary ranging between 20000 and 25000 MXN
- Payroll payment with statutory benefits after a 3-month probation period
- Work hours from Monday to Friday, 10 AM to 7 PM
- Work arrangement is primarily remote with occasional onsite presence as necessary
- Work location: Guadalajara
Candidate Profile
- Minimum age: 28 years
- Educational background: Bachelor's degree in Accounting, Administration, or related field
- At least 3 years of experience as an administrator
- Proficient in advanced Excel functions
- Experience using ERP systems
- Availability for occasional travel
- Flexibility in working hours
Key Responsibilities
- Manage schedules and payment processing for suppliers including their account status and full documentation
- Handle invoicing processes, both general and project-based, and maintain control over invoices in coordination with the accounting department
- Review and approve purchase orders prioritizing quality and delivery time for productions
- Supervise collection and payment processes
- Oversee projects from planning through to completion coordinating with general production
- Review and manage project budgets
- Maintain production control by managing necessary inventories
- Serve clients of the rental department by managing equipment rentals, deliveries, and returns
- Maintain and report the company’s financial status timely to partners
- Coordinate documentation for fiscal matters with accounting
- Work with legal counsel to manage contracts, promissory notes, and files ensuring comprehensive legal protection including printing, signature collection, and physical/digital archiving
- Collect and send hard drives to clients
- Track project payment statuses and balances per client, reporting systematically to management and production
- Improve administrative processes using checklists, systems, and other tools
- Take charge of all company collections
- Control and upkeep of inventories and equipment
- Perform deposits and other office-related tasks as required
