Job Overview
The Technical Office Manager is essential in ensuring seamless coordination among clients, design, fabrication, and installation teams within our marble operations. This role supervises daily technical and administrative activities to ensure projects progress efficiently from estimation and material selection through to drafting, fabrication, and final installation. The ideal candidate combines proficient office management with detailed knowledge of natural stone processing, CAD design, and project coordination, alongside excellent communication skills to manage diverse stakeholders including clients, production, installation, and administration teams.
Key Responsibilities
- Lead and supervise the Drafting and Estimation Team responsible for creating shop drawings, CAD designs, and technical specifications for marble cutting and CNC machinery.
- Monitor project timelines from initial field measurements to final installation, guaranteeing on-time delivery across departments.
- Conduct quality assurance checks by reviewing technical drawings and specifications to ensure they meet client requirements prior to fabrication.
- Serve as the primary point for resolving technical issues arising between architects, designers, installation crews, and fabrication units.
- Manage procurement and inventory control of stone slabs and blocks.
- Optimize office workflow through development and implementation of efficient filing, documentation, project scheduling, and administrative procedures.
- Handle budget management, invoice processing, job cost tracking, and customer billing.
- Supervise administrative personnel, coordinate office schedules, and support human resources with new employee onboarding.
- Maintain an up-to-date tender log, including estimated submission deadlines, and communicate progress to sales and clients.
- Oversee opening and briefing of tender packages (RFQs) and ensure accuracy of BOQs aligned with project scope when prepared internally.
- Prepare detailed project briefs including price breakdowns for budgeting each activity.
- Select materials suitable for project needs or propose alternatives and assess value engineering possibilities.
- Coordinate with procurement to maintain an updated price list of raw materials.
- Price related Variation Orders (VOs) and issue quotations incorporating general terms, conditions, and estimated project durations.
- Compile weekly and monthly progress reports and dashboards, coordinating cross-departmental updates impacting cost estimations for new tenders.
- Oversee issuance and approval of technical documentation such as PQDs, MARs, material test reports, structural calculations, VOs, notices, and document submissions.
- Draft and approve workshop and as-built drawings, proposals, and presentations.
- Issue detailed cutting lists and job orders with sketches for production.
- Select materials jointly with warehouse and factory managers and issue requisitions as needed.
- Manage notices for VOs and coordinate technical communication between site, factory, and accounting teams.
- Follow up with third parties including QA/QC for test reports and procurement for structural calculations and accessory suppliers.
- Schedule awarded and pre-awarded projects collaboratively with related departments during tender phases.
- Innovate design patterns for effective reuse of waste material and existing stock.
- Continuously refresh showroom designs in partnership with sales and production teams.
- Manage Quantity Surveying functions including RFQ briefings, BOQ accuracy, identification and management of VOs and claims, site surveys, and issuance of interim payment certificates (IPCs) to clients and subcontractors.
- Monitor key performance indicators such as lead time reductions, pricing accuracy relative to market rates, awarded packages versus releases, budget adherence, item description precision, timely invoice submissions and approvals, approval speed for technical submittals, drawing accuracy to site conditions, and customer feedback on responsiveness to changes.
