Job Overview
INSPYR Solutions is seeking a dynamic and meticulous Talent Acquisition Coordinator based in Deerfield Beach, FL for a contract role of 12+ months. This position offers an hourly wage between $35 and $38 on a W2 basis. Candidates must be US Citizens, Green Card holders, or possess valid work authorization in the United States. The role demands a highly organized individual who excels in managing end-to-end candidate experiences and supporting recruitment processes particularly for executive-level positions.
Key Responsibilities
- Coordinate executive-level search activities (AVP+) collaborating effectively with search firms and managing detailed scheduling with professionalism and confidentiality.
- Ensure exceptional candidate experiences by managing logistics such as travel arrangements, onsite interview preparations, and virtual meeting coordination across multiple locations.
- Handle all onsite executive candidate visit arrangements including interview room reservations, catering, video conferencing setup, visitor badges, onsite escorting, company tours, transportation, and accommodation.
- Act as the main contact during candidate visits and coordinate the virtual Day One Orientation every Monday in a designated conference room.
- Support 10 Talent Acquisition Advisors by ensuring smooth scheduling of interviews, meetings, and seamless communication.
- Collaborate with Executive Administrators and business leaders across the company to organize calendars and manage logistics smoothly.
- Manage ServiceNow requests to maintain organized and efficient onsite interview schedules.
- Participate in relevant company and team meetings as needed.
- Maintain and organize all executive recruitment documentation and materials.
- Identify and implement process improvements to enhance efficiency in recruitment operations.
- Contribute to additional HR projects including process documentation and improvements.
Qualifications and Requirements
- Must be onsite a minimum of three days per week with flexibility up to five days depending on workload; additional days may be necessary at times.
- At least five years of experience providing high-level administrative support or coordination within corporate or enterprise environments; prior Executive Admin or Talent Acquisition coordination experience is advantageous.
- Bachelor’s degree is preferred.
- Experience with Applicant Tracking Systems, with Workday expertise considered a significant advantage.
- Proficiency with Microsoft Office suite, especially Outlook for calendar management and email communication.
- Exceptional organizational skills, strong communication abilities, and keen attention to detail.
- Highly proactive, capable of managing multiple priorities simultaneously while maintaining composure under pressure.
- Ready to undertake administrative duties involving heavy workflow processing and client collaboration for issue resolution.
- Flexible and adaptable to shifting priorities as required.
- Strong ethical standards and integrity, able to handle confidential information responsibly.
- Eagerness to engage with and support colleagues throughout the organization.
