Supply Chain Officer

Position Overview

The Supply Chain Officer plays a vital role in supporting the supply chain operations at CAPS Australia by managing procurement administration, logistics coordination, inventory control, and warehouse assistance. This role is responsible for ensuring transactions are processed accurately and promptly, freight and logistics are coordinated efficiently, and resolving operational challenges swiftly.

Scope of Role

Acting as a liaison across multiple functions including supply chain, warehouse, and branch operations, this position collaborates extensively with internal teams such as sales, service, warehouse, and supply chain departments, as well as external parties like suppliers and freight companies.

Key Responsibilities

• Oversee document control systems and maintain precise records.
• Manage quarantine stock procedures ensuring compliance.
• Handle damage-in-transit cases and insurance claims efficiently.
• Investigate discrepancies in shipments and orders.
• Process invoices related to domestic and international freight.
• Assist in onboarding suppliers and setting up data.
• Continuously refine supply chain processes and protocols.
• Support stocktaking activities and ensure inventory accuracy.
• Coordinate freight bookings, returns, and transfers effectively.
• Monitor freight movements and manage any delays.
• Maintain accurate tracking of container shipments (FCL/LCL).
• Arrange timely container deliveries and source freight quotations.
• Manage proof of delivery requests and resolve freight-related issues.
• Provide administrative support in the warehouse, including picking and receipting.
• Assist with resolving inventory discrepancies and managing bin locations.
• Offer relief support as a storeperson when necessary.
• Handle branch administrative tasks such as managing mail and supplies.

Internal and External Collaboration

Coordinates closely with Supply Chain Manager, supply chain team, warehouse personnel, branch staff, sales, service, and finance departments. Interfaces with suppliers, freight and logistics providers, insurance firms, and other external partners to ensure smooth supply chain operations.

Required Qualifications and Skills

• Background in supply chain or logistics operations.
• Experience with ERP systems, preferably Pronto.
• Proficiency in Microsoft Office applications.
• Excellent communication and organizational capabilities.
