Role Summary
The Senior Document Controller role involves providing comprehensive management of project documents and records. Responsibilities include supporting Enterprise Content Management Systems (ECMS), integrating data flows, generating reports and Power BI dashboards, conducting quality checks, resolving documentation issues, providing software training, monitoring metrics, and planning workflows. The objective is to guarantee the efficient, accurate handling of key project information.
Key Duties
- Act as a primary liaison among project stakeholders, contractors, and external parties to ensure precision, compliance, and high quality of documents managed through Aconex.
- Support the document and records management team by analyzing, recommending, mapping, and implementing improved workflows and data processes through project completion.
- Coordinate with functional teams, contractors, suppliers, and other contributors to maintain procedure effectiveness and meet information requirements.
- Manage registration, control, distribution, transmission, filing, and archiving of project records using the Project Document Management System (Aconex).
- Administer access controls and other duties related to Aconex system management.
- Ensure project documents conform to records retention and turnover plans, updating as needed.
- Assist with training, system implementation, assessments, and continuous improvements in document management.
- Handle large volumes of documents from systems implementation, construction, suppliers, and commercial sources.
- Create routine documents and reports utilizing standard office applications such as word processors, spreadsheets, and Power BI to support operational activities.
- Promote the adoption and effective use of information management tools like Aconex and Outlook.
Education and Experience
- Possession of a bachelor's degree (or internationally equivalent qualification).
- Between 5 to 8 years of relevant professional experience, or alternatively 9 to 12 years in related roles.
Knowledge and Skills
- Strong oral and written communication abilities, capable of engaging effectively with different project functional groups.
- Proven aptitude for building solid relationships with customers and team members.
- Document control experience on large, complex projects, with excellent command of grammar, spelling, punctuation, and syntax.
- Minimum five years of recent document control experience, particularly with Aconex.
- Intermediate to advanced skills in web-based file transfer platforms such as SharePoint Online or OneDrive.
- Basic to intermediate proficiency in Microsoft Excel, Outlook, Word, and Power BI, with possible skills assessment.
- Ability to manage professional team efforts and make decisions aligned with unit and company policies.
- Potential responsibility for functional areas without direct reports and ability to mentor less experienced colleagues.
