Role Overview
The Patient Access Specialist functions as the initial point of contact for patients and families, ensuring smooth access to care and facilitating meaningful engagement with our healthcare model. Reporting to the CARES Center Operations Manager, this role involves managing patient inquiries, scheduling, and needs resolution to support timely and equitable access to pediatric services.
Key Responsibilities
- Handle incoming patient communications via phone, SMS, web portal messages, and online forms.
- Initiate outbound communications to follow up with patients and resolve concerns promptly.
- Schedule and adjust patient appointments efficiently, coordinating with clinical teams to align with operational standards and patient preferences.
- Monitor no-shows and reschedules to ensure continuity of care and minimize disruptions.
- Maintain accurate patient records, including demographic, insurance, and appointment information, within the electronic medical records system, adhering to internal protocols.
- Verify and update patient data at each interaction to uphold data integrity.
- Ensure strict compliance with HIPAA regulations and maintain confidentiality throughout all processes.
- Collaborate effectively with interdisciplinary teams to coordinate care and resolve patient-related issues.
- Enhance communication among healthcare providers, staff, and patients to facilitate smooth delivery of services.
- Identify and help address barriers to care in partnership with internal teams.
- Perform additional assigned tasks supporting the care delivery framework.
Qualifications
- High school diploma or equivalent educational qualification.
- 1 to 2 years of experience in healthcare settings or healthcare contact centers.
- Strong verbal and interpersonal communication skills.
- Excellent organizational capabilities and adeptness in managing multiple tasks concurrently.
- Proficiency with electronic health records (EHR), customer relationship management (CRM) software, digital patient engagement platforms, and standard productivity tools.
- Bilingual proficiency in English and Spanish is highly advantageous.
- Experience working with pediatric patient populations is preferred.
