Operational Specialist

About the Role

We are a rapidly expanding technology startup composed of engineering, finance, and business development teams. We seek a diligent Operational Specialist to bridge the communication and workflow gaps across these departments. Reporting directly to the CEO, this pivotal position requires close monitoring of deadlines, proactive task tracking, and ensuring seamless coordination that prevents project delays.

Key Responsibilities

• Manage and update the primary project tracking system (Monday.com) integrating the efforts of engineering, finance, and business development teams.
• Conduct daily check-ins with both team leaders and individual contributors to verify progress and identify potential obstacles early.
• Alert teams of deadlines at risk well in advance to enable timely corrective actions.
• Organize weekly cross-departmental status meetings and provide comprehensive updates to the CEO.
• Maintain rigorous follow-ups to ensure tasks are completed rather than simply progressed.
• Detect repetitive bottlenecks among teams and recommend improvements to existing processes.
• Document meeting notes, define action items, and clarify accountability across all functions.

Required Qualifications and Skills

• Between 1 to 3 years of experience in operations, project coordination, executive assistance, or related cross-functional roles.
• Proficiency and daily usage experience with project management platforms such as Monday.com, Asana, or ClickUp.
• Fluent written and verbal communication in both English and Arabic.
• Demonstrated persistence and professionalism in following up with team members repeatedly to ensure task completion.
• Strong attention to detail coupled with a firm commitment to meeting deadlines.
• Previous experience within startup environments or other fast-paced settings is advantageous.
• Preference given to Saudi nationals.
