Role Overview
The Logistics Coordinator is tasked with overseeing comprehensive visibility and management of stock levels for the UK, EU, and US markets, including merchandise and components. Responsibilities include coordinating assembly and replenishment, fulfilling sample requests for marketing initiatives, and managing procurement related to suppliers and packaging. This position ensures that products and materials remain available across all markets by closely tracking inventory and collaborating with cross-functional teams involving marketing, warehouse, and third-party logistics providers (3PLs).
Key Responsibilities
- Maintain a master tracking file that monitors stock quantities, predicts stock shortages, and details mitigation plans for finished goods and merchandise.
- Distribute the updated stock file weekly and discuss it in the Monday alignment meetings.
- Keep EU stock levels consistently high and minimize occurrences of stock shortages through vigilant monitoring.
- Manage assembly processes by replenishing EU stocks based on sales rates and forecasts, monitoring UK assemblies to ensure adequate stock at processing units, and initiating assembly requests for low inventory SKUs and specialized items like US discovery boxes and gifts.
- Provide weekly assembly forecasts to third-party logistics partners.
- Process and fulfill sample requests from UK, US, and EU marketing teams for influencers, media placements, events, and podcasts.
- Coordinate weekly stock withdrawals in the UK following 30-day holding policies, liaising with unit and external warehouses and securing batch numbers and delivery notes ahead of dispatches.
- Manage regular shipments replenishing EU and US warehouses from the UK unit, confirming stock listings, overseeing dispatch, and handling any unplanned additions to shipments.
Required Experience and Skills
- Familiarity with inventory control, stock tracking, or supply chain coordination, ideally in the FMCG, beauty, or wellness sectors.
- Excellent organizational capabilities and attention to detail in handling multiple stock records and tracking documents.
- Ability to work confidently across different departments including marketing, warehouse, finance, and operations teams located in the UK, EU, and US.
- Comfort with warehouse management systems, spreadsheets, and the use of forecasting data for decision-making purposes.
- Effective communication skills to clearly and concisely update stakeholders on stock statuses and potential risks.
