Role Overview
The Lease Administrator plays a critical role in supporting Chipotle's commercial real estate portfolio by ensuring compliance with lease agreements, managing occupancy costs, and facilitating long-term tenancy. This position acts as a key liaison between internal teams—including property management, finance, legal, operations, and construction—and external landlords and their representatives.
Key Responsibilities
- Analyze lease documents to identify essential dates, process stipulations, and manage recurring payments such as Common Area Maintenance, Taxes, and Insurance.
- Accurately approve and process monthly rent along with one-time or out-of-cycle payments, providing supporting reports as necessary.
- Monitor Tenant Improvement (TI) allowances, obtain documentation, invoice, collect, and process payments accordingly.
- Abstract information from monthly lease renewals and amendments to maintain up-to-date records.
- Set up anticipated rent payments within systems to support accurate accrual accounting.
- Analyze sales figures and lease clauses to calculate and prepare percentage rent payments.
- Audit and reconcile landlord invoices and ledgers to ensure payments match lease terms and resolve discrepancies.
- Communicate and negotiate with landlords to address lease issues, disputes, or adjustments related to escrow, utilities, and payment application.
- Review annual operating expenses and perform CAM reconciliations to control occupancy costs and confirm landlord compliance.
- Manage various rent payment models, ensuring payments are made on time and accurately reported.
- Share lease obligation insights with internal business partners to inform decisions throughout the lease lifecycle.
- Contribute to process improvements for departmental efficiency and provide actionable business analysis.
- Maintain organized electronic lease documentation files.
Candidate Qualifications
- Bachelor’s degree (B.A./B.S.) or equivalent 3-5 years' experience in commercial real estate lease administration, property management, or a related field, preferably with retail or restaurant background.
- Advanced proficiency in Microsoft Excel and strong technical ability to work with various lease administration software.
- Solid comprehension of lease and real estate industry terminology and concepts.
- Exceptional analytical, communication, and numerical skills.
- Detail-oriented, highly organized with a professional attitude and excellent interpersonal skills.
Compensation and Benefits
Estimated annual base salary ranges from $67,000 to $95,500. Employees are also eligible for performance-based annual bonuses and equity awards. Chipotle provides a comprehensive benefits package including medical, dental, vision insurance, 401k plan, paid sick leave, vacation time, and more.
