Role Overview
The position of Lead Document Controller involves overseeing comprehensive project documentation for major Oil & Gas EPC projects. This role ensures accurate, timely, and secure handling of technical and project documents while adhering strictly to project, client, and regulatory mandates. The Lead Document Controller supports engineering, construction, quality, and project management teams through effective document control processes and robust Electronic Document Management Systems (EDMS).
Key Responsibilities
- Develop and maintain document control systems aligned with company and project standards.
- Manage all incoming and outgoing project documentation, including engineering and technical drawings, shop drawings, material submittals, method statements, RFIs, NCRs, MOMs, transmittals, correspondence, and change orders.
- Maintain document registers with comprehensive version control and audit trails to ensure only approved, current documents are circulated among stakeholders.
- Implement consistent document numbering, naming conventions, and formatting standards.
- Coordinate receipt, review, registration, and distribution of engineering and construction drawings, overseeing revisions in collaboration with consultants, subcontractors, and engineering teams.
- Monitor drawing distribution and revision status and assist in drawing reviews and comment resolutions.
- Engage effectively with clients, consultants, contractors, suppliers, and internal teams to manage document-related communications and meet documentation requirements.
- Ensure quality compliance of document control activities with QA/QC procedures, supporting audits with precise documentation records and proactively resolving discrepancies.
- Administer EDMS platforms such as Aconex, Procore, Asite, SharePoint, including training, troubleshooting, and coordination with IT support.
- Handle document archiving across the project lifecycle and assist in the preparation of as-built documentation and final project handover packages ensuring proper closeout documentation.
Candidate Profile
- Holds a Diploma or Bachelor's Degree in a relevant field; certifications in Document Control, Records Management, or EDMS are advantageous.
- Brings 5 to 8 years’ experience in document control with 2 to 3 years in a leadership or senior document controller role, preferably within large-scale Oil & Gas, EPC, engineering, or construction projects.
- Proficient in managing engineering drawings and construction documentation, with a solid grasp of the entire document lifecycle.
- Experienced with EDMS such as Aconex, Procore, Asite, SharePoint, or similar platforms.
- Demonstrates excellent organizational aptitude, meticulous attention to detail, and strong communication and stakeholder management skills.
- Capable of thriving in dynamic, multidisciplinary project environments and proficient with Microsoft Office and document management software.
