Responsibilities
- Assist Project Managers in managing multidisciplinary mechanical, electrical, and building engineering projects from start to finish.
- Help prepare and update project schedules, work plans, budgets, and deliverables to ensure on-time and within-scope completion.
- Support the review and monitoring of change notices and orders, coordinating technical inputs and tracking status.
- Create and maintain comprehensive project documentation including proposals, meeting minutes, progress updates, correspondence, and close-out reports.
- Facilitate communication among internal engineering teams, clients, consultants, contractors, and suppliers to ensure smooth project execution.
- Monitor project milestones, deliverables, and action items, following up to meet deadlines.
- Keep project files, drawings, specifications, contracts, and documents organized per company quality standards.
- Provide assistance with procurement tasks, equipment tracking, submittal reviews, and coordination of shop drawings.
- Coordinate project meetings, compile agendas, document minutes, and circulate action items.
- Help identify project risks and escalate issues to Project Managers when necessary.
- Ensure compliance with company policies, client expectations, engineering principles, and health and safety regulations.
- Contribute to process improvement initiatives for better coordination and project documentation.
- Develop positive internal team relationships and deliver professional, responsive client service.
- Perform additional duties as assigned by Project Managers or senior leadership.
Qualifications
- Diploma or Bachelor's degree in Business Administration, Project Management, Engineering, Construction Management, or a related field.
- Up to 2 years’ experience in project coordination, administration, engineering, or construction-related roles. Relevant academic projects, internships, or co-op work will also be considered.
- Basic knowledge of project management concepts including scheduling, budgeting, and documentation.
- Proficiency with Microsoft Office tools: Excel, Word, Outlook, PowerPoint, and SharePoint.
- Familiarity with project management software such as Microsoft Project, Procore, Deltek, Asana, or others is advantageous.
- Experience or exposure to consulting engineering, construction, or commercial building projects is beneficial.
- Knowledge of AutoCAD, Revit, Bluebeam, or construction document management software is a plus.
- CAPM certification or intention to pursue project management credentials is considered an asset.
- Strong organizational abilities to manage multiple priorities efficiently in a dynamic setting.
- Excellent verbal and written communication skills for collaboration with teams and external stakeholders.
- High attention to detail, problem-solving skills, and eagerness to learn proactively.
- Ability to work autonomously while contributing effectively to team efforts.
- Professionalism, initiative, adaptability, and commitment to quality work and customer service.
- Dedication to health and safety standards and compliance with company quality procedures.
