This entry-level position supports onboarding, employee records, HR system transactions, recruitment coordination, employee communications, and general HR department operations.The HR Coordinator serves as an initial point of contact for routine employee and applicant questions and ensures that requests are directed to the appropriate HR team member. The successful candidate will be highly organized, service-oriented, comfortable using technology, and committed to maintaining the confidentiality and accuracy of employee information.Key ResponsibilitiesCore ResponsibilitiesRecruitment & Talent CoordinationSupport candidate communications using approved templatesTrack candidate status and documentation in the applicant tracking systemAssist with pre-employment requirementsMaintain accurate recruiting records and candidate filesSupport job fairs, community outreach, internship activities, and recruiting eventsProvide a professional, timely, and welcoming candidate experienceOnboarding & OffboardingCoordinate pre-employment and onboarding activities after an offer has been acceptedSend new-hire forms, instructions, orientation schedules, and required noticesTrack completion of pre-employment requirements, background checks, employment documents, and onboarding tasksCoordinate the timely completion and retention of Form I-9 documentation in accordance with established proceduresCoordinate with hiring managers, Payroll, Information Technology, Learning and Development, and other departments to support new-hire readinessConfirm that new employees receive appropriate system access, equipment information, schedules, and introductory materialsSupport new-hire orientation logistics and attendance trackingFollow up on incomplete forms or onboarding requirementsInitiate separation checklists after receiving appropriate authorizationSchedule exit interviews or distribute exit questionnairesHR Compliance & DocumentationAssist with personnel-file, I-9, benefits, training, and HR data auditsTrack required documents, acknowledgments, certifications, and renewal datesAssist with preparing records for internal and external auditsFollow established HR policies, procedures, record-retention requirements, and confidentiality standardsEscalate incomplete, inconsistent, or potentially noncompliant documentationMaintain current versions of approved HR forms, templates, notices, and resourcesSupport the distribution and tracking of required employee noticesBenefits & Employee SupportRoute plan interpretation and eligibility questions to the HR Generalist or appropriate team memberSupport annual Open Enrollment communications, scheduling, and administrative preparationAssist with routine employee reminders and documentation follow-upMaintain confidentiality of medical and benefits informationSupport benefits and leave audits as requestedHR Operations & Administrative SupportProvide general administrative support for the HR team, including scheduling meetings, tracking training completion, and preparing reportsAssist with HR initiatives such as employee engagement events, training programs, and performance review cyclesMaintain organized HR documentation and assist with reporting needs as requested by leadershipSuccess MeasuresAccurate and timely recruitment coordination and onboarding completionCompliance with California labor laws and HR documentation standardsHigh responsiveness and professionalism in employee communicationWell-maintained, audit-ready personnel recordsEfficient support of HR initiatives and department operationsSkills That Set You ApartRequired QualificationsHigh school diploma or equivalent requiredOne year of administrative, customer service, office, recruiting, payroll, healthcare, or Human Resources support experience preferredAn associate degree, bachelor's degree, Human Resources coursework, internship, or relevant professional training may substitute for some experienceEntry-level candidates with strong administrative and customer-service capabilities are encouraged to applyHigh level of professionalism, discretion, and ability to handle confidential informationProficiency in Google Workspace (Docs, Sheets, Drive, Slides)Ability to work independently while collaborating effectively within a remote teamBenefitsTime Off & LeavePaid Time OffHolidaysVolunteer timeBereavementHealth & WellnessMedical coverageFSAs or other wellness benefitsDisability and EAPFinancial & Professional401(k)StipendsProfessional developmentCulture & PerksEmployee discountsTeam eventsGrowth opportunitiesEqual Opportunity EmployerPacific Health Group is an Equal Opportunity Employer.
