Role Overview
The Executive Operations Coordinator plays a crucial role in keeping executive leadership and organizational operations efficient and aligned with strategic goals. Reporting directly to the Founder & CEO, this position ensures the firm’s operational infrastructure supports sustainable growth through effective calendar and project management, process enhancement, and cross-departmental support.
Primary Responsibilities
- Deliver executive-level assistance including calendar scheduling, meeting setups, travel arrangements, and preparing communication materials and presentations.
- Oversee operational processes by documenting procedures, enhancing workflows, and fostering scalable improvements.
- Coordinate ongoing projects, monitor deliverables, and ensure priorities and deadlines are met consistently.
- Maintain organized documentation for contracts, templates, and administrative files to support smooth daily operations.
- Manage and optimize digital tools such as project management platforms and CRM systems to boost teamwork and efficiency.
- Identify operational inefficiencies and implement automation and standardized procedures to improve performance.
- Act proactively to solve organizational challenges and facilitate a structured, productive workplace environment.
Candidate Qualifications
- Resident of Houston, Texas with availability for at least one weekly on-site meeting.
- Holder of a Bachelor’s degree; advanced degrees or equivalent experience are advantageous.
- Possess 5 to 7 years of experience supporting senior management in dynamic environments.
- Expertise in managing complex scheduling, operational tasks, and communication needs.
- Strong organizational, time-management, and problem-solving capabilities.
- Excellent written and verbal communication skills suitable for professional correspondence and briefing preparations.
- High standards of professionalism, confidentiality, and discretion handling sensitive information.
- Experience with cross-functional project coordination or executive team support is highly preferred.
- Proficient user of Google Suite and collaboration technologies including Zoom and project management tools.
Compensation and Work Hours
- Compensation ranges from $30 to $35 per hour.
- Minimum commitment of 15 hours per week with a maximum cap of 80 hours monthly.
- Opportunity for increase in hours as organizational needs develop.
