Role Overview
This role, based in Darwin, is ideal for a highly organised and proactive Executive Assistant experienced in supporting senior executives within dynamic and fast-moving environments. It is a fixed-term contract with a significant prospect of transitioning to a permanent position. The successful candidate will provide comprehensive support to the Managing Director & CEO, adeptly handling conflicting priorities, exercising discretion, and ensuring efficient executive assistance.
Key Responsibilities
- Oversee the calendar and priorities of the Managing Director & CEO, facilitating smooth coordination of meetings and engagements.
- Produce precise agendas, minutes, reports, and correspondence, ensuring timely follow-up and delivery.
- Serve as the primary liaison between the MD & CEO and internal/external parties, including board members and government stakeholders.
- Organize corporate events, sponsorship activities, and functions, managing logistics and financial administration.
- Arrange domestic and international travel plans encompassing itineraries, accommodation, and expense monitoring.
- Manage legal and compliance documentation, such as legal filings, licenses, certifications, and contract communications.
- Maintain meticulous records, filing, and document control systems for easy access and accuracy.
- Assist with financial administrative tasks like invoice processing, expense reconciliation, and support reporting.
- Handle sensitive business and personal matters with the utmost professionalism and confidentiality.
- Coordinate personal engagements for the MD & CEO, ensuring alignment with organizational commitments.
- Provide versatile support across executive and organizational projects to maintain operational continuity.
Candidate Profile
- Proven experience as an Executive Assistant or senior administrative support role dedicated to executives.
- Outstanding organisational and time management capabilities, handling multiple competing tasks effectively.
- Excellent communication skills, enabling confident interaction with senior stakeholders and government bodies.
- High professionalism with discretion in managing confidential information.
- Advanced proficiency in Microsoft 365 applications including Word, Excel, PowerPoint, and SharePoint, alongside other business systems.
- Strong attention to detail ensuring the accuracy and quality of work delivered.
- Demonstrated sound judgement and initiative in clarifying ambiguous situations and seeking effective solutions.
- Capable of working independently while contributing positively to team dynamics.
- Experience in coordinating high-level events, travel requirements, and executive logistics.
