Job Summary
The Executive Assistant will support senior leadership by managing operational and logistical tasks encompassing stakeholder engagement, precise calendar and travel management, meeting documentation, and coordination of HR and administrative processes.
Core Responsibilities
- Develop and maintain professional relationships with key external stakeholders including Indian vendors, law firm leaders, VPs, and CXOs.
- Collaborate with both internal and external senior management and their assistants to coordinate meetings efficiently.
- Prepare detailed notes and follow-up on action items from meetings, regularly reporting progress.
- Manage leader's calendar by scheduling, accepting, or declining appointments based on priority and meeting objectives.
- Attend meetings, document minutes, and organize subsequent activities, especially when the leader is out of office.
- Coordinate all travel arrangements such as visa applications, ticket bookings, accommodation, conveyance, and international travel necessities including calling cards and forex.
- Oversee travel expense approvals and other financial processes related to the leaders' activities.
- Act as the liaison for HR and talent acquisition tasks including scheduling appraisal sessions, coordinating interviews, and managing onboarding procedures.
- Handle purchase orders and requisitions with proficiency in Microsoft Office and ERP systems like Dynamics.
- Organize company events, awards submissions, and internal communications while upholding confidentiality.
- Support program management for town halls, team lunches, and virtual engagement activities.
Qualifications and Experience
- 5 to 10 years of demonstrable experience in a similar Executive Assistant role.
- Bachelor's or master's degree or an equivalent qualification.
Essential Skills
- Excellent command of English for professional communication both spoken and written.
- Exceptional ability in calendar management, considering time zones and travel periods.
- Strong follow-through skills to ensure tasks are completed independently.
- Good judgment in prioritizing tasks based on stakeholder importance.
- Flexible working hours to accommodate evening or weekend meetings aligned with US time zones.
- Reliable and honest handling of sensitive data with integrity.
- Proficiency in expense management, event planning, travel coordination, and general administrative duties.
- Competency in coordinating events such as town halls and team outings.
