Role Overview
The Executive Assistant will serve as a trusted partner to senior leadership, delivering high-level administrative and organizational support in a fast-paced and dynamic setting. The position requires expertly managing calendars, meetings, travel plans, communications, and executive presentations with utmost professionalism, confidentiality, and discretion. Success in this role depends on collaboration, proactive problem-solving, prioritization of demands, and fostering strong relationships internally and externally. This project-based role reports to the Studio Executive-Design Environments and does not guarantee permanent placement.
Key Responsibilities
- Manage complex calendars and coordinate meetings while handling invoices, expense processing, communication triage, and timely follow-up on priority items.
- Effectively schedule across multiple stakeholders by prioritizing demands and resolving conflicts to enhance executive productivity.
- Organize and support meetings and conferences, preparing necessary materials and ensuring seamless technology and logistics for both in-person and virtual events.
- Plan domestic and international business travel, coordinating detailed itineraries, transportation, and adapting real-time to schedule adjustments and time zone differences.
- Act as a vital liaison between senior leaders, executive teams, and external partners to maintain clear and efficient communication channels.
- Balance executive calendars strategically to incorporate business priorities, preparation time, travel, and focus periods.
- Handle executive communications professionally and discreetly, prioritizing inquiries with sound judgment.
- Adapt to rapidly changing priorities ensuring consistent workflow in a dynamic environment.
- Maintain confidentiality and integrity while managing sensitive information.
- Draft and prepare correspondence, presentations, reports, and other executive documents.
- Support office functions through vendor interaction, supply management, issuing purchase orders, processing invoices, and related administrative tasks.
- Plan and execute team meetings, events, off-sites, and leadership gatherings to ensure productive and positive experiences.
- Contribute to special projects and initiatives by offering proactive support enhancing organizational effectiveness.
Required Qualifications & Skills
- Minimum of 7 years’ experience supporting senior executives in complex, fast-paced, project-oriented entertainment industry settings.
- Proven ability to manage competing priorities with professionalism, discretion, and adaptability.
- Highly organized with excellent planning, proactive problem-solving, deadline management, and minimal supervision skills.
- Exceptional verbal, written, and interpersonal communication skills enabling effective engagement with leaders and stakeholders.
- Strong relationship-building capabilities to drive collaboration, resolve challenges, and optimize outcomes.
- Trustworthy handling of confidential information with sound judgment and reliability.
- Service-focused team player with acute attention to detail and a proactive approach.
- Calm and resourceful under pressure, capable of managing unexpected issues while maintaining professionalism.
- Advanced skills in Microsoft 365, SAP, Concur, video conferencing, collaboration tools, and both Mac and Windows platforms with quick adaptability to new technologies.
- Experience preparing executive presentations, business materials, and correspondence.
- Demonstrated curiosity and willingness to learn executive priorities and organizational dynamics to offer strategic support.
Preferred Qualifications
- Experience within The Walt Disney Company or large complex public corporations.
- Background supporting executives in creative, project-driven environments such as Walt Disney Imagineering.
- Familiarity with video teleconferencing technologies and collaboration platforms like Zoom and Slack.
- Competency in presentation tools including PowerPoint, Keynote, and Adobe Creative Suite.
Education
- Minimum: High School Diploma
- Preferred: Bachelor’s Degree or equivalent
Additional Information
- This position is a project hire without guarantee of permanent placement.
- The annual salary range for Glendale, CA is $54,000 to $72,300 based on a 40-hour workweek, subject to variation by geographic location, experience, and other factors.
- Additional compensation may include bonuses or long-term incentive units alongside full medical, financial, and other employee benefits.
