Role Overview
We seek a proactive and detail-focused Executive Assistant / Office Manager to provide comprehensive support to our leadership team and oversee office operations. This hybrid role entails high-level executive assistance and hands-on management of daily office logistics to ensure seamless functioning.
Key Responsibilities
- Coordinate complex calendars for executives, resolving scheduling conflicts adeptly
- Arrange travel plans, including itineraries and expense reports
- Prepare meeting documents, agendas, and follow-up communications
- Serve as liaison and gatekeeper between executives and stakeholders while managing confidential information discreetly
- Oversee daily office operations, including supplies procurement, vendor coordination, and facility maintenance
- Maintain partnerships with building management, cleaning and IT service providers, and other contractors
- Organize team events, off-sites, and social occasions such as holiday parties and happy hours
- Facilitate onboarding logistics for new employees, including workstation setup and access management
- Manage office budgeting related to supplies, events, and facilities
- Act as primary contact for office inquiries and support needs
Candidate Profile
- Minimum two years’ experience in executive assistance, office management, or related administrative roles
- Strong organizational abilities with aptitude for multitasking and attention to detail
- Excellent verbal and written communication skills
- High integrity and discretion in managing sensitive information
- Adaptable to a fast-paced startup environment with shifting priorities
- Proficient in Google Workspace, Slack, and tools for expense and travel management
- Demonstrates initiative and a willingness to tackle all tasks, big or small
Preferred Qualifications
- Experience in startup or rapidly growing company environments supporting executives
- Event planning expertise for corporate gatherings and off-sites
- Basic knowledge of QuickBooks or similar expense and budget tracking software
