Role Overview

Our client, an accomplished entrepreneur managing several ventures across industries and serving on both corporate and nonprofit boards, is searching for an experienced Executive Assistant. This position requires someone familiar with the high demands of supporting a multi-company leader, capable of independently managing her time, priorities, and ensuring flawless follow-up.

Key Responsibilities

  • Function as primary gatekeeper for the executive's schedule, safeguarding strategic priorities and filtering less critical requests.
  • Effectively coordinate a dynamic calendar involving multiple companies, board commitments, and speaking engagements, anticipating conflicts and preparing in advance.
  • Take full charge of inbox management, ensuring no critical correspondence is missed, proactively highlighting urgent matters and resolving routine issues autonomously.
  • Oversee active projects by tracking timelines, vendor coordination, and deliverables, employing tools such as Gantt charts to ensure progress.
  • Support capital raising efforts through liaison with investor relations, following up on pending tasks, and advancing documentation and communications.
  • Manage logistics for board meetings with meticulous attention to materials and time management.
  • Handle end-to-end organization of speaking engagements, including coordinating with bureaus, event planners, and travel arrangements.
  • Maintain proactive and clear communication, providing concise status briefs to minimize the executive's involvement in updates.
  • Develop and nurture relationships with vendors and suppliers as new projects arise.

Qualifications and Experience

  • Minimum of five years providing direct support to a C-level executive, founder, or entrepreneur, ideally across multiple ventures or fast-paced portfolios.
  • Proven track record of independently managing calendars, inboxes, and project pipelines with strong ownership.
  • Excellent organizational and project management skills, familiarity with Gantt charts or similar systems valued.
  • Exemplary judgment and discretion to prioritize competing tasks in a high-volume, rapid environment.
  • Experience or exposure to investor relations, fundraising, board administration, or public speaking/PR coordination is beneficial.
  • Comfortable collaborating with a fast-moving founder, able to function as a proactive partner rather than requiring constant oversight.
  • Prior involvement with entrepreneurs during high-growth or multi-venture phases preferred; additional background in the restaurant, hospitality, or media industries is advantageous but not mandatory.

Additional Details

This is a fully remote role based in the United States; however, occasional travel and onsite presence are expected for board meetings, speaking engagements, and essential events.
