Role overview
Structure Tone, which is part of STO Building Group, is hiring an experienced Document Controller to support mission-critical construction work such as data centers, high-tech facilities, and other fast-moving project environments. This role focuses on keeping project documentation organized, accurate, compliant, and distributed on time across the entire project lifecycle.
What you will do
- Oversee the full range of project documents, including drawings, RFIs, submittals, specifications, contracts, reports, permits, and closeout files.
- Set up and maintain document control processes aligned with project requirements and company procedures.
- Receive, log, circulate, and monitor incoming and outgoing project paperwork.
- Make sure every revision and update is captured correctly and shared with the right project teams.
- Work closely with project managers, superintendents, engineers, subcontractors, clients, and consultants to keep information accurate and communication timely.
- Keep both digital and physical filing systems current for all project records.
- Track document workflows and help ensure submittals, RFIs, and approval deadlines are achieved.
- Support quality, compliance, and documentation standards for mission-critical construction work.
- Assist with closeout packages, turnover documentation, O&M manuals, and as-built drawings.
- Prepare reports and maintain logs that show document status and project progress.
- Protect sensitive project information by maintaining confidentiality and secure handling practices.
Experience and skills
The preferred background is 3 to 5 years in a document control or similar role. Experience on large commercial, industrial, or mission-critical projects is an advantage. The role calls for strong organizational ability, close attention to detail, comfort working under pressure, and a proactive approach to solving problems. A solid understanding of design drawings is also important. Familiarity with Microsoft Office, Bluebeam, ShareFile, Dropbox, Word, and Excel is needed; CMiC experience is a plus.
Compensation and benefits
The salary range for this position is $65,000 to $80,000 per year. In addition to base pay, employees may be considered for a discretionary bonus depending on company and individual performance.
