Job Responsibilities

  • Organize post-award contract kickoff meetings by preparing agendas, coordinating participants, issuing minutes, and monitoring contractual action items.
  • Support the preparation, management, distribution, and archiving of conformed Contract Documents corresponding to the Notice of Award.
  • Oversee, review, and manage securities, bank guarantees, bonds, and insurance certificates; liaise with Finance for original document handling and maintain contract records.
  • Maintain comprehensive registers and trackers for schedules, contractor deliverables, baseline programs, and critical contract dates; assist in compliance reviews for Project Execution Plans and related sub-plans.
  • Handle subcontractor approval submissions, collect supporting documents, and track Employer approvals before subcontractor engagement.
  • Maintain Technical Query (TQ) logs by recording contractor inquiries, coordinating responses, and facilitating controlled information release to prevent unintended contract changes.
  • Aggregate and track contractor progress reports and performance metrics to assist with contract monitoring and reporting obligations.
  • Coordinate quality-related documentation such as Inspection and Test Plans (ITPs), inspection records, and expediting updates in collaboration with QA and Expediting teams.
  • Assist in reviewing and processing contractor progress claims ensuring accuracy, contract compliance, and timely submission for approval and payment.
  • Maintain claims and variation logs, compile supporting documentation, and aid the Contract Manager in evaluating, negotiating, and finalizing claims and variations.
  • Support contract administration during construction phases including conducting site meetings, tracking instructions, dayworks, extras, and following up on actions.
  • Assist with insurance and incident claim administration by managing documentation, cost tracking, and coordinating with insurers as required.
  • Support interim completion processes, mechanical completion, turnover, defects liability management, and preparing final release and contract close-out documents.
  • Maintain lessons learned records throughout the contract's lifecycle and support close-out reporting.

Qualifications

  • A degree in Business, Engineering, Quantity Surveying, Law, or a related field, or equivalent experience.
  • Previous experience in contract administration within EPCM or large-scale capital projects.
  • Excellent written communication skills, strong attention to detail, and proficiency in Microsoft Word, Excel, and PowerPoint.
