Position Overview

The Bookkeeping Assistant plays a vital role in supporting Equipt and its ministry partners by handling bills, reimbursements, deposits, vendor payments, and contractor records. This position also assists the accounting team with journal entries, reconciliations, and financial data entry. The role ensures financial records are kept accurate, organized, timely, and consistent, aiding ministry leaders in their organizational goals.

Key Responsibilities

  • Process vendor invoices, payments, and reimbursements efficiently.
  • Maintain and update precise vendor records and contact details.
  • Confirm correct general ledger coding and secure appropriate approvals.
  • Manage recurring bills and subscription payments systematically.
  • Maintain weekly accounts payable timelines and adhere to deadlines.
  • Process reimbursements for employees accurately.
  • Coordinate with partners to resolve missing documentation issues.
  • Keep audit-ready organized financial files.
  • Assist with bank reconciliations and address discrepancies.
  • Support the preparation of journal entries and other financial adjustments.
  • Verify receipt of incoming wire transfers and record them properly.
  • Support periodic financial audits and month-end closing procedures.
  • Collaborate in offering counts in partnership with the Operations Coordinator and help prepare financial deposits.
  • Contribute proactively to a team culture focused on excellence and continuous improvement.
  • Support ministry initiatives and collaborate effectively with team members and partners.

Qualifications and Experience

The ideal candidate must be an active member of a gospel-centered church and have experience in bookkeeping or finance. Strong accuracy, integrity in handling confidential data, and effective communication skills are essential. The candidate should be capable of independent work as well as team collaboration and be solution-oriented in process improvements.

Preferred experience includes familiarity with QuickBooks (Online or Desktop), donor processing systems like Planning Center, payables systems such as Ramp Bill Pay, collaboration tools like Basecamp or Teams, payroll systems including Gusto, nonprofit or ministry-related financial support, and handling multi-entity or class-based accounting environments.

Work Structure
