Position Overview
The Audit Processing Specialist (APS) occupies a pivotal role responsible for initiating and managing medical record requests within Vital Records Control (VRC). Utilizing proprietary software, the APS ensures all documentation is handled precisely and efficiently while upholding HIPAA and organizational standards. This role is remote, with direct reporting to the Audit Team Lead or Director, focusing on meeting deadlines, troubleshooting issues, and delivering superior service internally and to clients.
Key Responsibilities
- Efficiently process incoming medical record requests utilizing VRC-specific software applications, ensuring accuracy and timeliness.
- Assist in resolving HIPAA-related release concerns, guaranteeing all procedures comply with regulations governing Protected Health Information (PHI).
- Organize and carefully review medical records, forms, and authorizations to maintain precision through the release workflow.
- Deliver outstanding customer service through professional communication channels including phone and email, adjusting as required by location.
- Collaborate professionally with colleagues and clients to foster a positive, cooperative work environment.
- Adhere strictly to confidentiality and privacy protocols using company guidelines and reference materials.
- Participate in required training to stay informed about industry standards and company policy updates.
- Exemplify the core values of Vital Records Control in daily duties and interactions.
- Undertake additional tasks as needed to support department and company operations.
Qualifications and Skills
- Minimum of a high school diploma or equivalent; some college coursework is advantageous.
- At least two years of experience in medical records management or Release of Information (ROI) processing.
- Two or more years performing clerical or office roles.
- Competence in using common office hardware and Microsoft Office Suite (Word, Excel, Outlook).
- Experience working within healthcare environments is preferred.
- Familiarity with HIPAA and state laws regarding PHI release is desirable.
- Independent work ethic with minimal supervision required.
- Exceptional attention to detail and organizational capabilities.
- Strong problem-solving aptitude and the ability to efficiently prioritize multiple assignments.
