Position Overview
The Associate Project Manager will oversee comprehensive project planning and execution duties within biomedical research and clinical studies. This position requires coordination of proposals, contract reviews, and project setup aligned with company protocols. Key responsibilities include managing internal and external resources to ensure timely, on-budget delivery of projects, serving as the central point of contact, and maintaining thorough documentation.
Responsibilities
- Prepare proposals including cost estimation and resource allocation for existing clients and project scopes.
- Coordinate the drafting and review of critical documents such as contracts, Material Transfer Agreements (MTAs), and ethics approvals.
- Set up projects following standard operating procedures (SOPs).
- Manage collaboration between internal teams and external partners to ensure flawless project execution.
- Ensure adherence to project timelines, scope, and budgets as agreed with clients.
- Serve as the primary contact for all project-related inquiries and manage project meetings.
- Utilize tools such as Microsoft Office, Laboratory Information Management System (LIMS), Enterprise Resource Planning (ERP), and Customer Relationship Management (CRM) software to monitor project performance and manage any changes.
- Develop and maintain detailed project documentation.
- Manage data by configuring projects within LIMS databases, including product specifications and electronic workflows, coordinating data transfers with IT and customers.
- Oversee invoicing to ensure accurate booking and approvals.
- Build and nurture ongoing relationships with existing clients and third parties through various communication channels including emails, calls, and in-person meetings.
- Provide client support including official travel and hosting delegations.
- Perform final project evaluations tracking timelines, budget reconciliations, and lessons learned to inform future initiatives.
- Regularly report progress and escalate issues to management as necessary.
- Conduct literature reviews as part of project oversight.
Qualifications and Requirements
- PhD in natural sciences or Master’s degree in natural sciences combined with at least two years’ experience in managing clinical study projects.
- Several years' experience in biomedical research; mentoring clinical trials is advantageous.
- Proven project management capabilities.
- Strong communication and negotiation skills.
- Proficient in English and German languages.
- Effective team collaboration skills.
