Role Overview
The position involves managing comprehensive facility and administrative services within the Air Conditioning Testing Laboratory, ensuring smooth operations of infrastructure, security, housekeeping, and associated support functions.
Key Responsibilities
- Oversee maintenance and upkeep of office buildings, plant infrastructure, and shared areas.
- Manage security operations including access control, CCTV surveillance, gate pass systems, and emergency procedures. Coordinate with security vendors for staffing, training, and audits.
- Supervise housekeeping to uphold cleanliness standards across offices and production areas through regular quality assessments.
- Administer staff canteen operations focusing on hygiene, food quality, cost efficiency, and vendor management. Ensure pantry supplies are maintained and replenished timely.
- Control employee transportation services ensuring punctuality, vehicle maintenance, route optimization, fuel expense management, and taxi service coordination.
- Handle attendance processes including queries, leave regularization, and onboarding/offboarding formalities with vendor coordination.
- Maintain an effective visitor management protocol including gate passes, escorts, safety briefings, and record keeping.
- Identify and manage service vendors through contract finalization, scope definition, performance monitoring, and periodic evaluations.
- Develop and administer the annual administrative budget, ensuring cost control without sacrificing service quality.
Required Competencies and Skills
- Strong leadership abilities and experience in team management.
- Expertise in vendor negotiation and contract management.
- Deep understanding of compliance requirements and statutory norms.
- Proficient in crisis and emergency response management.
- Excellent verbal and written communication skills coupled with interpersonal aptitude.
- Practical knowledge of MS Office tools and facility management technologies.
- Effective supplier relationship management skills.
Preferred Experience
Prior experience in electronics manufacturing or automotive equipment industries is a plus.
Mandatory Experience
Minimum 7 to 10 years of experience in administrative roles within Original Equipment Manufacturers (OEMs).
