Job Overview
Dade Medical College-Hialeah is looking for a meticulous and well-organized Administrative Specialist to deliver extensive administrative and operational support to several departments. The successful applicant will manage scheduling, document handling, record-keeping, reporting, and ensuring smooth daily business functions.
Key Responsibilities
- Support managers, executives, and teams with administrative tasks.
- Manage calendars, appointments, meetings, and virtual conferences.
- Create reports, presentations, spreadsheets, and formal correspondence.
- Keep precise electronic records, databases, and handle confidential files.
- Complete data entry tasks and validate business information accuracy.
- Answer emails, phone calls, and internal queries professionally.
- Organize travel plans, meeting logistics, and various administrative projects.
- Assist with onboarding documentation and employee-related administrative processes.
- Contribute to cross-departmental projects and initiatives for process improvement.
- Ensure adherence to company policies and administrative protocols.
- Undertake other administrative duties and special assignments as needed.
Required Qualifications
- Associate's or Bachelor's degree in Business Administration or related discipline preferred.
- At least two years of experience in administrative support, office administration, or comparable positions.
- Skilled in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Knowledgeable in Google Workspace and collaborative online tools.
- Excellent verbal and written communication skills.
- Strong organizational capabilities, multitasking skills, and effective time management.
- Exceptional attention to detail and ability to maintain confidentiality.
- Self-motivated with the capability to work independently in a remote setting.
