Job Overview
The Admin Officer will provide comprehensive administrative assistance to the Vancouver team, ensuring all related tasks are completed with high standards of accuracy and professionalism.
Primary Responsibilities
- Handle telephone calls and redirect them to the appropriate staff members.
- Oversee the management of incoming and outgoing mail and coordinate document dispatch via courier services.
- Execute routine office duties including photocopying, printing, and scanning documents.
- Maintain both digital and physical filing systems and ensure meticulous record-keeping.
- Manage office supplies and uphold a well-organized office setting.
- Assist with bookkeeping, accounts management, and data entry tasks.
- Liaise with clients and colleagues to arrange appointments and manage calendars efficiently.
- Offer administrative support including email communication and preparation/distribution of memos, letters, spreadsheets, forms, and faxes.
- Gather, document, organize, and archive legal documents and client records to aid associates in case preparation.
- Draft, revise, format, and finalize legal correspondence, presentations, and other materials as instructed by associates.
- Provide support on various ad-hoc projects as needed.
Requirements
- Minimum qualification of a bachelor's degree in any discipline or an equivalent qualification.
- Proficiency in spoken and written English.
- Familiarity with standard computer software, especially Microsoft Office Suite including Word, Excel, and PowerPoint.
- Basic knowledge in handling standard office equipment.
- Understanding of clerical and administrative processes, including filing and records management.
Work Schedule and Location
- Full-time position Monday through Friday from 9 AM to 6 PM, with a one-hour unpaid lunch break.
- Onsite work at the Vancouver office.
