Role Overview
The Service Planner is a vital member of the Service Department, facilitating excellent service delivery to external and internal customers. Acting as the main communication conduit between customers, onsite technicians, and the service team, this role ensures seamless coordination, advanced scheduling, and efficient management of service operations.
Key Duties
- Oversee job workflows from inception through to completion utilizing ERP systems.
- Handle data management related to customer contracts including new entries, renewals, and warranty setups.
- Monitor expenses and costs aligning with company budgets and policies.
- Process vendor invoices and coordinate payments with Accounts Payable.
- Work closely with Service Managers to organize and schedule daily technician activities to meet service commitments.
- Manage service job lifecycle in the ERP for breakdown repairs, maintenance contracts, project tasks, and quotes.
- Serve as the primary contact for technicians, swiftly resolving issues in collaboration with the Service Manager, including managing vehicle, tools, equipment, and parts requisites.
Qualifications and Experience
- Prior experience in administrative or coordination roles.
- Familiarity with SAP database systems is advantageous.
- Strong multitasking abilities with prioritization skills based on business needs.
- Competent with intermediate computer use and meticulous attention to detail.
- Excellent communication skills, both verbal and written.
- Ability to adapt and find solutions in a dynamic and high-pressure setting.
- Background in Building/Construction or Service sectors is preferred.
- Experience with Servicemax or Salesforce platforms is a plus.
