Role overview
We are looking for a reliable and detail-oriented Remote File Clerk to keep company records and databases current, organized, and accurate. The role involves working with internal teams and customers to gather information and enter it promptly into the appropriate systems.
Intake and indexing
- Collect files from shared inboxes, portals, internal ticketing systems, and cloud storage folders.
- Check document type, required fields, signatures, and supporting attachments before processing.
- Assign standard metadata such as client or project ID, date, document category, version, and region.
Document organization
- Use consistent naming rules and structured folder arrangements.
- Convert files when needed, including merging or splitting PDFs, turning images into PDFs, compressing files, and labeling versions.
- Keep controlled document libraries organized across final, draft, and archived versions, along with retention tags.
Quality control
- Carry out daily checks for duplicate records, misplaced files, missing pages, and unreadable scans.
- Identify exceptions and send them to the correct person with clear notes.
- Maintain error records and support improvements that help reduce repeat work.
Records governance and compliance
- Manage confidential records with strict access controls.
- Follow retention timelines, legal hold instructions, and deletion or archiving rules.
- Assist with audits by locating documents quickly and recording chain-of-custody steps.
Collaboration and communication
- Work with HR, Finance, Operations, Legal, or Customer teams to clarify file requirements.
- Share updates on backlog, turnaround times, and issues discovered during processing.
Tools and success measures
You may work with Google Drive, SharePoint, Dropbox, Adobe Acrobat or similar tools, spreadsheets, ticketing platforms such as Jira, Asana, or ServiceNow, e-signature systems, and standard office productivity software. Performance is commonly measured by accuracy, turnaround time, backlog size, daily output, audit retrieval speed, completeness, and compliance with access-control and retention rules.
Qualifications
Experience in records management, administrative support, clerical work, or document control is preferred. The ideal candidate should have strong attention to detail, be able to follow filing and naming rules consistently, handle confidential information responsibly, and have basic computer skills with file systems, spreadsheets, PDFs, and collaboration tools.
