About the Role
The Process Executive for the Order to Cash (OTC) function will manage the cash application process, ensuring prompt and accurate entry of payment transactions in the subledger. This includes applying payments to invoices as per remittance advice, recording adjustments for discounts, refunds, and cash received in advance, and handling related accounting entries.
Key Responsibilities
- Ensure timely and accurate recording of all payments received in the bank.
- Apply payments to invoices in accordance with remittance details provided by clients.
- Maintain booking of adjustments for discounts, refunds, cash in advance, and provision for doubtful debts during monthly closing.
- Perform credit reviews, handle new customer setup or customer modifications, and process shipment releases.
- Clear advances against invoices regularly.
- Possess knowledge of billing operations including issuing credit and debit notes.
- Manage claims review process effectively.
- Coordinate with sales and execution teams to acquire remittance details as needed.
- Ensure timely clearing of sub-ledger items and follow-up on aged outstanding items with relevant teams.
- Provide necessary information related to customer advances to the accounting team.
- Prepare various accurate reports within set deadlines.
- Meet monthly Service Level Agreements (SLA) and Key Performance Indicators (KPI).
Additional Duties
- Resolve queries within predefined timelines.
- Recognize and propose process improvements employing leading industry practices.
- Manage exceptions by conducting root cause analysis and implementing proactive measures to prevent future issues.
- Provide all requisite documents and reports for audits and follow corrective action plans post-audit as directed by the Team Leader.
- File and archive pertinent documentation.
Skills and Experience
- Strong capability to deliver excellent customer service related to counterparty credit risk assessments and reporting.
- Proven ability to work independently, efficiently, and deliver high-quality results under time constraints.
- Comprehensive understanding of counterparty assessments and due diligence procedures.
- Solid knowledge of credit risk assessment concepts and procedures.
- Experience with SAP and workflow management tools.
- Minimum of 3 to 5 years in a similar role.
- Preferably experienced in agribusiness or commodity trading sectors.
- Strong communication and interpersonal skills to collaborate effectively with teams worldwide.
- Excellent problem-solving and organizational abilities.
- Knowledge of accounting systems, reconciliation policies, finance control standards, and quality frameworks ensuring compliance.
- Proficient computer skills including Microsoft Office suite (Word, PowerPoint, Excel, Outlook).
- Experience with ERP/accounting systems such as SAP is beneficial.
- Demonstrated teamwork skills.
Education
A minimum of graduation degree or higher qualification is required.
