Role Overview
We are seeking a detail-focused and proactive Operations Specialist to help set up and run Australian operations. This position involves managing warehouse and inventory workflows, coordinating inbound and outbound logistics, and supporting comprehensive operational planning to ensure efficient product and material flow within the supply chain. Additionally, the role includes supporting daily administrative functions in the Australian office.
Key Responsibilities
- Manage financial documentation by processing and verifying supplier invoices and purchase orders against product delivery and pricing agreements.
- Generate customer invoices and collaborate with finance to ensure timely payment collections.
- Maintain detailed expense and payment records, assisting month-end financial reporting as required.
- Organize domestic and international shipments by handling freight bookings, documentation, and customs processes.
- Coordinate with freight forwarders, customs brokers, and transport providers to track shipments and resolve logistical issues.
- Support supply and demand forecasting, order fulfillment, stock replenishment, and relevant logistics paperwork.
- Supervise daily warehouse functions including receipt, storage, picking, packing, and dispatch activities.
- Communicate regularly with third-party warehouse staff to update inventory records and conduct inventory reconciliations.
- Monitor stock levels and liaise with suppliers and logistics partners to address inventory shortages or discrepancies.
- Carry out office administrative duties such as managing supplies, correspondence, meeting planning, travel arrangements, and supporting event coordination.
- Provide ongoing administrative assistance to the local team as needs arise.
Candidate Profile
- Possess 3 to 5 years of relevant experience in warehouse, logistics, supply chain, or operations management.
- Proven ability to coordinate with freight forwarders, customs agents, and logistics providers effectively.
- Experience using inventory and warehouse management systems.
- Experience working in small to mid-sized businesses or startup environments is advantageous.
- Familiarity with international logistics and operations across multiple jurisdictions is beneficial.
Qualifications
- A diploma or bachelor's degree in Supply Chain, Logistics, Business Administration, or related disciplines; practical experience may be considered equivalently.
Skills and Attributes
- Exceptional organizational aptitude with meticulous attention to accuracy and detail.
- Strong communication and interpersonal capabilities.
- Mandarin language proficiency is a favorable asset.
- Competency in Microsoft Office and logistics or inventory software, including basic invoicing and financial record management.
- Ability to juggle multiple priorities efficiently in a dynamic, fast-growth setting.
- A proactive, hands-on approach across warehousing, logistics, and administrative duties.
- Comfortable working independently while maintaining clear communication with international teams.
