Job Summary

The Operations Manager / Project Manager position is vital for maintaining smooth daily operations and overseeing internal systems, tools, vendors, and administrative procedures. This role also leads cross-team projects to ensure that a distributed, expanding team stays organized and efficient while entering new states. The position demands hands-on involvement, working closely with the Executive Director and leadership to convert organizational goals into clear plans and timelines and ensuring timely completion of details. The role is remote, with preference for candidates near Denver, Colorado, for occasional onsite presence.

Responsibilities

  • Oversee daily organizational operations, including administering contracts, coordinating vendors, and managing internal systems such as project management, communication, and documentation tools.
  • Assist with budget management, tracking expenditures, invoice processing, and preparing budget updates alongside the Executive Director.
  • Maintain and develop internal policies, processes, and documentation to support efficiency and consistency within a growing multi-state team.
  • Manage vendor relationships such as payroll, IT, and software providers, while assessing new tools and partners as organizational needs evolve.
  • Identify and introduce operational improvements as the organization expands geographically.
  • Lead cross-team projects from initiation to completion by defining scope, setting timelines, assigning owners, and ensuring deliverables are met.
  • Maintain project tracking systems, identify risks and bottlenecks, and keep stakeholders updated on progress.
  • Support organizational planning by helping translate annual priorities into actionable work plans and monitoring progress.
  • Create internal reports on operational performance and project updates for leadership.
  • Perform additional duties as needed.

Required Qualifications and Skills

  • Bachelor’s degree or equivalent experience.
  • Minimum of three years’ experience in operations, project management, or administrative roles, preferably in nonprofits or startup environments.
  • Proven ability to manage projects or operational processes fully from beginning to end.
  • Solid organizational and multitasking abilities to manage various workstreams and deadlines.
  • Familiarity with nonprofit operational essentials, including budgeting, contract management, and vendor coordination.
  • Strong communication skills—written, verbal, and interpersonal.
  • Ability to build trust and maintain coordination across a remote and distributed workforce.
  • Resourcefulness, attention to detail, and comfort working independently in a fast-growing nonprofit setting.
  • Competence with project management, communication, and operational tools, and swift adaptability to new systems.

Preferred Qualifications

  • Passion for advancing equitable, dignified access to public benefits as aligned with MyFriendBen’s mission.
  • Experience supporting distributed, multi-state teams.
  • Understanding of technology-enabled or data-driven nonprofit programs.

Work Environment and Travel

  • Primarily remote with preference for Denver, CO area candidates able to work occasionally from the organization’s Denver hub.
  • Up to 10% travel may be required for team retreats and organizational events.

Compensation

The salary range for this exempt full-time position is $70,000 to $85,000 annually, based on experience.
