About the Role
We are looking for a detail-oriented, technologically proficient, and communicative Operations Administrator to support our Maintenance Operations team. The position demands advanced computer capabilities, especially in reporting and presentation creation, while managing administrative duties within the maintenance department. This role is pivotal in enhancing communication flow and streamlining reporting processes.
Key Responsibilities
- Design, update, and maintain detailed reports on maintenance activities.
- Regularly track, analyze, and validate key operational metrics ensuring data integrity.
- Develop comprehensive and visually appealing PowerPoint presentations for meetings, leadership briefings, and stakeholders.
- Create and maintain maintenance performance dashboards to gauge team efficiency and outcomes.
- Keep meticulous records of maintenance timetables, inventories, reports, and operational data.
- Document maintenance initiatives including corrective and preventive measures thoroughly.
- Serve as a communication bridge between maintenance staff, other departments, and management to ensure efficient information exchange.
- Organize meetings, manage follow-ups, and oversee progress of maintenance-related activities.
- Disseminate updates and changes regarding maintenance schedules to pertinent parties.
- Support daily administrative tasks such as data entry, filing, and organizing records within the maintenance team.
- Assist in preparing maintenance budget documentation and related reports.
- Oversee the efficient use of maintenance management software and technology tools.
- The candidate’s experience with SAP and Maximo software will be considered an advantage.
Required Skills and Qualifications
- Proficient with Microsoft Office, particularly Excel, PowerPoint, and Word.
- Experienced in crafting comprehensive reports, dashboards, and compelling presentations.
- Excellent verbal and written communication skills, capable of conveying information effectively to diverse audiences.
- Detail-focused with strong organizational capabilities ensuring accuracy in all tasks.
- Efficient in managing multiple responsibilities and adhering to deadlines in a dynamic environment.
Preferred Qualifications
- Prior involvement in an administrative role within maintenance or operations.
- Knowledge of maintenance or asset management processes.
- Bachelor's degree in Business Administration, Operations Management, or related disciplines.
