About The Role
UniqPay is seeking a dedicated Office Coordinator to manage the operational and administrative core of its Dubai headquarters. This role is pivotal in managing the office environment, coordinating with vendors, onboarding new employees, and organizing events that help foster team unity across dispersed locations. The Office Coordinator will establish and maintain all foundational office processes, making a noticeable impact on every new team member’s experience.
Key Responsibilities
- Oversee daily office operations including supplies, facility upkeep, maintenance, and overall cleanliness standards.
- Handle vendor relationships through sourcing, negotiating, and managing office suppliers and service providers to ensure cost efficiency.
- Coordinate onboarding logistics such as equipment allocation, access credentials, desk assignments, and creating a welcoming first day experience.
- Manage calendars, arrange meetings, coordinate visitor protocols, and assist with travel arrangements for the leadership team.
- Plan and execute team events, offsites, and gatherings to strengthen the connection among employees across offices.
- Support the People and Culture Manager with documentation, record keeping, and compliance with local administrative regulations.
- Anticipate and resolve office-related issues, including managing repairs, contract renewals, and equipment needs proactively.
Candidate Profile
- Possesses 2 to 4 years of experience in office coordination, administration, or workplace operations, ideally within a startup or fast-paced environment.
- Excellent organizational skills, capable of managing multiple tasks simultaneously without oversight.
- Well-acquainted with Dubai's vendor networks, building management, and relevant administrative procedures.
- Communicates effectively and professionally with diverse stakeholders, including couriers and executive leadership.
- Demonstrates strong ownership and accountability, treating the office as their own domain.
- Proficient in managing calendars, spreadsheets, and tracking procurement processes.
- Holds a diploma or bachelor’s degree in any discipline.

- Track record of organizing memorable events.
- Background in supporting onboarding during periods of rapid company growth.

As UniqPay expands, this position will evolve to include broader workplace and people operations responsibilities, such as managing additional offices and helping shape the People function based on established standards.
