Position Overview
The Manager of Operations & Client Success acts as the core operational leader partnering directly with the CEO. This role ensures the smooth coordination and progress of multiple client projects and internal initiatives by managing systems, scheduling, and follow-through processes. The successful candidate will also spearhead the design and implementation of the project management platform and establish standardized workflows and document management to enhance client experiences from the outset.
Key Responsibilities
- Lead daily operational activities across an expanding portfolio of client projects and internal programs.
- Oversee project timelines, task assignments, deliverables, and dependencies to keep initiatives on track.
- Coordinate cross-functional efforts to ensure continuous progress and no overlooked details.
- Identify procedural inefficiencies and develop standard operating procedures and repeatable workflows to support firm growth.
- Manage client onboarding processes including kickoff coordination, document collection, and workspace preparation to guarantee a smooth initial 90 days.
- Serve as main operational liaison to clients communicating project status and proactively monitoring risks.
- Maintain engagement quality through consistent tracking of deliverable standards and deadlines.
- Lead the development and administration of Monday.com or comparable platforms, including workflow automation and integration with email, calendar, CRM, and document management systems.
- Train team members and promote the adoption of project management tools firm-wide.
- Establish and maintain structured document management protocols, ensuring consistency and accuracy of templates and records.
- Coordinate internal and client meetings, handling agenda preparation, action items follow-up, and status reporting.
- Work closely with the CEO to manage weekly priorities, project reviews, and operating cadence.
- Create dashboards that provide leadership with real-time insights into project status, capacity, and client health.
Required Qualifications
- 3 to 5+ years in roles related to operations, project management, client success, or similar positions such as operations manager or chief of staff.
- Proven ability to efficiently handle multiple concurrent projects with strong ownership and minimal supervision.
- Practical experience using Monday.com or similar project management tools (Asana, ClickUp, Smartsheet, Wrike).
- Strong organizational skills and meticulous attention to detail in both written and verbal communication.
- Comfortable working independently in a fully remote setting.
- Proficiency with Microsoft 365 and/or Google Workspace along with cloud-based document management systems.
- Bachelor's degree or equivalent professional experience.
Preferred Experience
- Background in consulting, advisory, or professional services environments.
- Familiarity with healthcare systems, managed care, payer/provider landscapes, or reimbursement processes.
- Advanced skills configuring and administering Monday.com platforms including automation and integration (certifications advantageous).
- Experience authoring SOPs and establishing operational processes within fast-scaling organizations.
- Knowledge of CRM platforms such as HubSpot.
Compensation & Benefits
This full-time position offers an annual salary ranging from $65,000 to $85,000, plus a performance-based bonus. The final compensation package will be based on experience and qualifications. Additional benefits may include health, dental, vision coverage, paid time off, retirement plans, and remote-work stipends.
Work Location and Travel
The role is fully remote within the United States. Candidates must be authorized to work in the U.S. and able to work during core business hours within a U.S. time zone, preferably Eastern. Occasional travel (approximately 1-2 times per quarter) may be necessary for team offsites, client meetings, or industry events.
