Role Overview

The LTIP Administrator acts as the dedicated expert responsible for overseeing the operational management and implementation of all approved Long-Term Incentive Plans across every business unit. This centralized role ensures standardized, reliable, and timely administration of incentive schemes after their design phase, enabling consistent scheme execution throughout the organization.

Scope and Responsibilities

  • Serve as the sole accountable person for the full administration of LTIP schemes across all units and eligible employee levels.
  • Maintain an authoritative database of all schemes, awards, participant details, and related records, providing a single source of truth.
  • Manage all stages of LTIP scheme execution, from enrollment through vesting to payout, aligned with plan rules and timelines.
  • Coordinate rollout efforts with business leaders and HR, verifying participant eligibility and award allocations per approved designs.
  • Conduct precise calculations for awards and vesting following predefined formulas, including adjustments for leaver cases.
  • Support recruitment teams by monitoring grant limits per unit and employee levels and advising on LTIP components within job offers.
  • Perform benchmarking analyses to compare LTIP grants and practices internally and against external market data, contributing insights for decision-making.
  • Collaborate with Finance to maintain LTIP financial accruals, provisions, and cost tracking, supporting monthly and annual close processes.
  • Produce regular and ad-hoc reports on scheme participation, cost management, vesting status, and outstanding awards for management and units.
  • Ensure compliance with plan rules, internal policies, and pertinent legal, regulatory, and tax requirements, maintaining full audit trails.
  • Act as the primary contact for participant queries, manage confidential compensation information, and facilitate award communications.
  • Oversee LTIP administration systems and liaise with external parties such as plan platform providers, brokers, trustees, and legal or tax advisors.
  • Continuously improve and standardize administration processes across all business units.

Required Qualifications and Experience

  • Bachelor's degree in Finance, Accounting, Business, Human Resources, or an equivalent discipline.
  • Professional certifications such as ACCA, CPA, CFA, or recognized reward/compensation credentials are advantageous.
  • Between 2 and 4 years of experience managing incentive or equity schemes, compensation and benefits, or finance operations, preferably within a multi-entity or multi-unit organization.
  • Proven practical knowledge in LTIP or deferred incentive plan administration, including understanding of vesting terms, performance metrics, leaver policies, and payout procedures.

Skills and Competencies

  • High accuracy and meticulous attention to complex calculations.
  • Advanced proficiency with Microsoft Excel and experience using plan management, HRIS, or ERP software systems.
  • Strong numerical analysis, reconciliation skills, and organizational capabilities to handle multiple concurrent schemes and stakeholder relationships.
  • Integrity and confidentiality in managing sensitive compensation information.
  • Effective communication skills for participant interactions and coordination among diverse business units.
  • Process-focused mindset dedicated to standardization and operational improvement.

Key Collaborations

  • Finance & Accounting for accruals, reconciliations, and reporting.
  • Human Resources, Total Rewards, and Recruitment teams to validate participant data and ensure adherence to grant limits.
  • Business Unit leaders for scheme rollout and participant coordination.
  • Governance and Remuneration Committees for compliance reporting.
  • External advisors including legal, tax consultants, plan platform vendors, brokers, and trustees.
