Role Overview
Vakson Development is looking to urgently hire an Executive Secretary for a full-time, on-site position in Dubai. The role is best suited to a Filipina candidate and comes with a monthly salary of AED 4,500.
What You Will Do
- Manage the CEO’s calendar, diary, and appointments to keep priorities organised.
- Arrange and coordinate meetings, events, and travel plans, including timely scheduling and logistics.
- Prepare meeting agendas and ensure action points are tracked through to completion.
- Compile and process expense reports with care and accuracy.
- Draft presentations, correspondence, and other executive documents as needed.
- Handle confidential administrative work while keeping records, files, and documentation in order.
- Screen, sort, and prioritise communications on behalf of the CEO.
- Act as a central contact point for internal teams and external stakeholders.
- Support the CEO’s daily workflow and help improve operational efficiency and decision-making.
Required Qualifications and Experience
- Experience supporting senior executives through high-level administrative and executive assistance work.
- Strong command of Microsoft Office tools, especially Word, Excel, PowerPoint, and Outlook.
- Ability to manage diaries and coordinate meetings, events, and travel smoothly.
- Background in preparing and processing expense reports accurately.
- Good administrative skills, including document preparation, filing, and task follow-up.
- Excellent English communication skills, both written and spoken; Arabic is an added advantage.
- Strong discretion and integrity when dealing with sensitive information.
- Excellent organisation and time management in a busy, fast-moving environment.
- Prior experience as an Executive Assistant or Personal Assistant to C-level leadership is preferred, especially in real estate or a corporate setting.
- A bachelor’s degree in Business Administration, Management, or a related field is preferred.
