Role Overview

The Executive Assistant will be a key support figure for Alfred's founder and CEO. This role blends executive support with coordination of new store development. Tasks include managing the CEO's schedule, overseeing development timelines, expediting permit processes, and translating discussions into actionable steps, contributing significantly to Alfred’s expansion.

Key Responsibilities

  • Manage CEO’s calendar, emails, travel arrangements, and daily priorities, ensuring focus on high-impact activities.
  • Prepare meeting materials like agendas and relevant context, and track unresolved action items.
  • Document meeting discussions and follow-ups, assigning tasks and monitoring completion.
  • Act as a liaison between the CEO and internal leadership, landlords, contractors, consultants, legal counsel, and other external parties.
  • Handle executive administrative duties such as expense processing and confidential communications.
  • Oversee timelines for new café openings from lease signing through launch.
  • Conduct regular meetings with architects, contractors, consultants, and internal teams to track project progress and plan next steps.
  • Identify and mitigate project risks, remove obstacles, and keep development schedules on track.
  • Monitor project budgets, invoices, contractual agreements, and change requests across multiple projects.
  • Visit project sites to inspect progress, manage punch lists, and confirm task completion.
  • Coordinate permit applications, city approvals, inspections, and regulatory milestones.
  • Represent Alfred in dealings with municipal agencies to facilitate project advancement.
  • Maintain lease-related calendars, summarize key lease terms, and track renewal and notice deadlines.
  • Review landlord bills against lease terms and flag inconsistencies.
  • Keep thorough and organized documentation including permits, contracts, plans, and communications.

Candidate Profile

  • 2 to 4 years of experience providing executive support and/or project management, ideally with background in real estate, construction, hospitality, or fast-growing startups.
  • Exceptional organizational skills, with strong follow-through and proactive task tracking.
  • Excellent written communication, capable of composing clear and professional emails mirroring the CEO’s tone.
  • Aptitude for tactfully and professionally holding colleagues accountable to meet deadlines and deliverables.
  • Discretion to manage confidential legal, financial, and personnel information sensitively.
  • Sound judgment to discern issues requiring CEO attention versus independent resolution.
  • Valid driver’s license, clean driving record, and reliable vehicle; ability to visit locations and government offices multiple days weekly.
  • Proficiency with calendar management, spreadsheets, cloud drives, and collaboration software.
  • Ability to stay composed in high-pressure situations, adaptable to challenges, and maintain a sense of humor during bureaucratic processes.
  • Comfort working outdoors in various weather conditions and capability to lift up to 20 pounds when needed.

Compensation and Benefits

  • Annual salary ranging from $74,500 to $80,000 based on experience.
