Role Overview
This is a high-impact opportunity to support senior leadership in a fast-moving AI business. The role calls for someone who can keep executive operations running smoothly, remove friction from the leaders’ day, and use modern tools, including AI-enabled workflows, to improve efficiency. The ideal candidate will be proactive, highly organised, and able to think ahead to avoid issues before they arise.
What You’ll Do
- Support senior leaders directly so they can focus their time and attention on the most important priorities.
- Run busy, complex calendars and adjust schedules frequently as priorities change.
- Coordinate international travel carefully and ensure a smooth, high-quality experience.
- Help plan and organise leadership and team events such as off-sites.
- Process expenses and reimbursements for the departments supported by your leader in a timely and accurate way.
- Take care of personal tasks on behalf of the leaders you support.
- Test and adopt AI tools that can improve productivity for both you and your leaders.
- Work with other executive assistants to provide backup during absences and contribute to shared projects.
- Stay close to what is happening across the business and surface useful context that may affect priorities or create blockers.
- Protect confidentiality and operate with a high degree of professionalism in all situations.
- Manage additional administrative and operational work as needed.
- Contribute positively in a high-energy, fast-paced environment.
What You Need
- At least 3 years of experience in an administrative position within a fast-paced setting.
- Strong capability in calendar management, travel coordination, and operational support.
- Ability to balance several requests and prioritise competing demands from leaders or stakeholders.
- Excellent standards around discretion, professionalism, and confidentiality.
- Reliable, detail-focused, resourceful, and consistent in execution.
- Comfort working through ambiguity and staying composed under pressure.
- Strong written and verbal communication skills, with the ability to adapt to different stakeholders.
- Genuine curiosity about technology and practical experience or interest in using AI tools and agents to automate routine work and improve efficiency.
- Very comfortable using Gmail, Google Calendar, Google Drive, Slack, and similar tools.
- Someone who is intelligent, motivated, adaptable, and strong in tactical administration.

Work Policy
